About the Company - Originally founded in Denmark in 1933 and today operating in Europe, Asia, Australia and USA, Steensen Varming is a building services design consultancy, specialising in mechanical, electrical, lighting and environmentally sustainable design. Steensen Varming operates along the principles of an integrated design studio working within a specialist field to provide the best service to our clients. Steensen Varming works on a variety of exciting projects from Sydney Opera House to the British Museum, from Scott Base Antarctic Research Station to Albury Hospital, encompassing architectural and urban design, the private, corporate and public sectors, from modest upgrades to World Heritage Sites. About the Role - This role presents a great opportunity to support quality bids, tenders and panels submissions. Working within a small marketing and bids team on niche, high end projects, with a focus on excellence. This is a pivotal role in assisting with the growth and exposure of the business which requires an eye for detail, the ability to create, format and manage both digital and written content. The role includes all aspects of the end-to-end bid process. This role would ideally suit someone looking to bring a writers eye to the marketing and bid process by providing information in a compelling and confident manner to elevate and create stand-out tender and bid proposals to clients.
Responsibilities
* Undertake bid activities: bid preparation, technical content coordination, non-technical proposal writing, submissions, coordination of post-tender follow ups, clarifications and presentations.
* Coordination of responses from internal stakeholders, including QA, OHS, HR, finance, to gather required information for expression of interests, pre-qualification tender questionnaires, tenders and bids, panels, capability statements and relevant bid/tender materials.
* Coordination of submissions database, marketing and communication materials for bids, including CV's, company profiles and project sheet updates.
* Undertake pipeline, panel management.
* Monitor new project opportunities, Support business growth and development activities through the preparation and execution of marketing opportunities, events and programs
* Work independently and collaboratively with team members to create content and deliver Steensen Varming's values and brand.
* Assist in managing the company's relationships and interactions with clients and collaborators (CRM).
* Undertake project contract administration procedures, coordination of contract reviews and maintain a register of deeds and contracts.
* Implement regular internal system improvements and upgrades in line with QA requirements.
* Maintain an adaptable teamwork focus, with coverage within the wider marketing, administrative and support team, where essential for the organisation, to support business needs.
Qualifications and Experience
* Minimum of 1 year experience with bid processes.
* Ideally, industry knowledge within building services, architecture or construction.
* Familiar with CRM databases, such as Deltek Workbook.
* A degree in Humanities/the Arts or Business, is preferred.
Required Skills
* Communication Skills: Excellent written and verbal communication skills.
* Attention to Detail: Through attention to detail to ensure bid documents are accurate, and presented to the company formatting standards.
* Software Proficiency: Advanced formatting skills in Word, Excel and PowerPoint, with intermediate to advanced experience in InDesign.
* Organisation: Contribute to the ongoing organisation and update of a centralised collateral database and library, ensuring all bid-related materials and templates are accurate and easily accessible.
* Business Etiquette: Working within a small team, displaying a high level of emotional intelligence and professionalism, including confidentiality,.
* Multitask: Maintain a attention to detail and accuracy of own work, within in a fast-paced environment, managing multiple tasks and deadlines.
* Flexibility: Willingness to support a positive company culture and communicate with staff members globally.
* Development and Growth: A willingness to undertake Continual Professional Development in relevant subjects.
