About Us
The Queensland Fire Department (QFD) provides fire prevention, preparedness and response services to fire in the built and landscape environments, as well as scientific and specialist capabilities to Queensland communities. The QFD provides a multi-hazard emergency response, including road crash rescue, bushfire, hazardous material, technical and vertical rescue, severe weather incidents, remote and swiftwater rescue, and functions supporting community safety outcomes. The department encompasses Queensland Fire and Rescue (QFR), Rural Fire Service Queensland (RFSQ), and the broader department that work together to pre‑empt, prevent, mitigate and manage the consequences of fires and other emergencies, while supporting a large volunteer membership across the state. The QFD is committed to reframing its relationship with Aboriginal and Torres Strait Islander peoples, communities and organisations through the QFD Reframing the Relationship Plan, contributing to Closing the Gap outcomes and building cultural capability.
Purpose of the Role
You will provide high‑level confidential administration services and business support to meet the functions of regional operations, development or emergency operations capability. You will set priorities and monitor workflows to manage human resource and finance administration, records and database management, medal and award nominations, official functions and diary management, and secretariat duties. You will assist teams in area commands, emergency management, community safety, or training, supporting productive and effective service delivery to meet regional objectives.

- C Class driver’s licence (non‑restricted)
- Government purchasing qualifications (level 1)
- Knowledge or experience with human resource and finance systems and database management
Special Requirements
- Support activation of the Regional Operation Centre (ROC) or State Operations Centre (SOC) when required; may involve deployment to a Response Team and work outside normal hours, including night shifts, weekends or extended hours.
Your Key Accountabilities
Responsibilities
- Provide high‑level administrative support, including preparing, reviewing and coordinating correspondence, reports and other materials, and secretariat duties as required.
- Perform general office duties: mail distribution, filing, diary control, travel arrangements, maintenance of office equipment and asset records.
- Coordinate administrative tasks for processing work unit records, human resource activities (leave, staffing arrangements, training courses) and finance administration, ensuring compliance with policy and procedures.
- Utilise databases to create, update, analyse and report on business activities, supporting compliance and effective maintenance of records.
- Liaise and maintain positive working relationships with internal and external stakeholders at all levels, including the public, to support key processes and delivery of unit outcomes.
- Coordinate the development, maintenance, training and advice of administrative processes, procedures and system use to ensure compliance and quality support services.
- Prioritise workload effectively and perform duties responsibly in the absence of supervision, using initiative to resolve issues and recommend continuous improvement.
- Provide support and administrative duties during emergencies and disasters, potentially involving short‑notice activation and rostering outside business hours.
