Biala Support Services has been supporting people with disabilities and their families in Northern NSW for over 50 years. We are now seeking a motivated and organised Administration Assistant to join our team. This role provides vital support across our school and NDIS services, ensuring smooth day-to-day operations and a welcoming front office environment.
About the Role
Reporting directly to the Business Manager, you'll be the first point of contact for families, staff, and visitors.
Responsibilities
* Reception & Front Office: First point of contact for all calls to the Biala general phone line and administer generic Biala email accounts; greet and assist families, visitors, and external providers in a welcoming and professional manner; assist with maintenance of school facilities
* School Administration: Manage student attendance records and early release requests; draft letters to parents and prepare documents such as excursion permission notes; coordinate school communications including certificates for assemblies, and surveys; provide administrative support to the Head of Education and support staff; support reporting requirements by assisting with data entry on internal platforms and government systems; maintain filing, archiving, and recordkeeping systems; coordinate stock and distribution of school uniforms
* Office & Operations Support: Provide administrative support to the Operations team, including word processing and document preparation; assist colleagues across the office with administrative tasks as needed
What We're Looking For
* Experienced in administration and reception, with strong Microsoft 365 skills
* Highly organised with great time management
* A confident communicator with excellent customer service skills
* Able to work both independently and as part of a collaborative team
* Professional, proactive, and able to maintain confidentiality
Requirements
* Current Working with Children Check
* National Criminal History Check
* Current driver's licence and reliable car
