About the role
We are seeking a highly organised and people-focused Administration Officer to provide professional administrative, reception and operational support across the organisation. This role is pivotal to the smooth day-to-day operation of the office, providing high-quality reception and administrative support. As the first point of contact, it ensures services run seamlessly while creating a positive and professional experience for clients, partners and stakeholders.
Key Responsibilities
* Front-of-house reception, phone and email enquiries
* General office administration, filing, databases and record management
* Client data entry and support using a CRM system
* Volunteer coordination
* Community stakeholder liaison and donation management
* Contractor and property coordination (cleaning, maintenance, fire safety etc)
* Fleet vehicle and office resource management
* Support basic financial processing and data entry
* Support meetings and events -handle room bookings, setup and pack-down, guest refreshments, tech support, catering, and distribution of materials to ensure smooth and professional experiences.
Skills & Experience
* Qualifications & Experience - Experience in administration, office coordination or customer service
* Communication & Coordination Skills -Excellent communication and attention to detail. Exceptional organisational and time management skills with the ability to prioritise competing tasks.
* Technical & Digital Proficiency -Sound knowledge of Windows and MS Office applications and ability to learn new IT and database systems.
* Customer Service Excellence - Strong focus on delivering positive client experiences, identifying customer needs, and managing expectations with professionalism, confidentiality and empathy.
* Confidentiality & Cultural Awareness - Committed to maintaining privacy, handling sensitive information appropriately, and engaging respectfully with diverse communities.
* Current Working With Children Check and NSW Police Check
* Current drivers' licence and willingness to travel as part of the role
Desirable
* Experience in community services or not-for-profit sector
