PRIVATE PERSONAL ASSISTANT / EXECUTIVE ASSISTANT - MIAMI, QLD

WHAT IS UNIQUE ABOUT YOU?
- You experienced, positive and proactive and have the ability to quickly assess and prioritise multiple tasks and demands to allow the CEO and GM to focus on the bigger picture and clients
- You can work autonomously, identify what needs to be done, and confidently take charge of office operations to provide first-class executive support.
- You are focused and have the capacity and drive to see a task through to completion.
- You're able to support and align with the company's rapidly evolving needs.
- You have experience hiring, onboarding, and managing team members and can look at our current systems and identify how to streamline processes and automate tasks.
- Timeliness and deadlines are your jam. When we have a team call at 10:00am, you show up at 9:55am. When the deadline is Tuesday at 5:30pm, you have it done on Monday because of the joy it brings you.
- You communicate clearly and confidently across all levels of the business.
- If you agree/disagree with something, you communicate that without hesitation or overthinking. You create clarity everywhere you go.
- You are a leader and a team player. If something needs to be done, you dive in to make sure all critical tasks are accounted and cared for.

DAY TO DAY TASKS:

- Calendar management for CEO and GM and ensure alignment with events, promotions and personal items.
- Personal assistant and household management duties for the CEO that include and are not limited to travel management, domestic support coordination, photoshoot assistance, location shoots,
- Undertake general administrative duties as directed, including projects and reporting.
- Daily huddle with the admin team and supervise their daily duties, create process improvement and monitor productivity and performance.
- Daily huddle with the management team
- Liaise and develop relationships with key external stakeholders to the business, including communicating with suppliers.
- Personal duties such as travel arrangements, appointments, car management, personal shopping and gifting
- Organise and manage company events, team lunches and birthdays.
- Expense management and reconciliation.
- Work with the executive team to support the company's amazing culture.
- Prepare reports and presentations
- Liaise with internal team to convey information, handle queries and confirm meetings.
- Capture, manage and store team information appropriately and sensitively.
- Manage personal, confidential information with sensitivity and professionalism
- Undertake additional duties as the role progresses and you are trained in different areas of the company.

CANDIDATE REQUIREMENTS:

- A minimum of five years personal/executive assistant experience with a minimum of 3 years to a C-Suite executive
- Excellent IT skills with advanced proficiency across GSuite programs
- Demonstrated capacity to ensure standards of communication and reporting are maintained

Must have Blue Card, excellent references, outstanding experience, unrestricted driver's license, own vehicle, and stellar, positive and get-it-done attitude, a Police Check and a NDA will be required.
