Office Manager / Administration & Marketing Coordinator

Ionclad is a bespoke architectural roofing and cladding company specialising in premium metal systems including copper, zinc and aluminium. We work closely with architects and builders to deliver refined, design‑led outcomes on high‑end residential and commercial projects across Queensland and Northern NSW.

As the business continues to grow, we are seeking a capable and proactive Office Manager / Administration & Marketing Coordinator to support our operations, finances and brand.


About the Role

This is a trusted, hands‑on role supporting the smooth day‑to‑day running of the business. You will work closely with the Managing Director and wider team, managing administration, bookkeeping and marketing tasks with a high level of autonomy.

The role offers a hybrid structure, combining office‑based work in Coolum Beach with flexibility to work from home, as well as occasional site visits for content capture.

This position suits someone who is organised, forward‑thinking and comfortable taking initiative — someone who enjoys thinking several steps ahead and keeping a growing business on track.


Key Responsibilities


Office & Business Administration

* Day‑to‑day office management and administration
* Managing enquiries, correspondence and internal systems
* Preparing, issuing and following up invoices
* Filing reports, maintaining records and managing documentation
* Supporting HR administration, onboarding and contractor paperwork
* Liaising with suppliers, consultants and external partners
* Identifying issues early and resolving them efficiently, keeping operations running smoothly


Bookkeeping & Finance (Xero)

* Processing invoices, bills and receipts in Xero
* Reconciling bank and credit card accounts
* Managing Stripe payments and reconciliations
* Payroll support, superannuation and allowances
* Assisting with BAS preparation and liaising with accountants
* General financial administration and reporting


Marketing & Content

* Managing Ionclad's social media presence (Instagram primarily)
* Planning, shooting and editing photo and video content during site visits
* Scheduling posts and stories
* Maintaining website content (Squarespace)
* Coordinating lookbooks, marketing collateral and brand assets
* Supporting marketing reporting and analytics (training provided where needed)


About You

You are proactive, organised and comfortable working autonomously. You enjoy having responsibility and ownership over your work, and you naturally think ahead to anticipate what the business will need next.

You will ideally have:

* Experience in office management or administration
* Bookkeeping experience using Xero
* Experience in trades job management software (highly regarded)
* Confidence managing priorities independently
* Strong written communication skills
* An eye for detail and presentation
* Experience with social media, content creation or marketing support
* The ability to stay calm, adaptable and solutions-focused in a fast‑moving environment
* Experience in construction, architecture, trades or professional services (highly regarded)
