NDIS Rostering & Administrative Assistant
About the Role
We are seeking an experienced NDIS Rostering & Administrative Assistant to support the day-to-day operations of our growing NDIS service provider. This role is ideal for someone who is highly organised, proactive, and confident working within ShiftCare and NDIS systems.
You will play a key role in staff rostering, administrative coordination, and operational support, ensuring continuity of care for participants and smooth communication with staff and management.
Key Responsibilities
Rostering & Workforce Coordination
* Create, manage, and maintain staff rosters in Shift Care
* Allocate shifts in line with participant support needs, funding, and SCHADS Award requirements
* Manage staff availability, shift changes, cancellations, and urgent cover
* Liaise with support workers regarding roster updates and availability
Administrative Support
* Provide general administrative support
* Assist with onboarding new staff (Shift Care profiles, documentation compliance)
* Maintain accurate records including staff files, participant records, and compliance documents
* Support incident reporting follow-up and documentation tracking
* Assist with audits, registers, and internal compliance documentation
Systems & Documentation
* Ensure all rostered shifts are correctly recorded for payroll and invoicing purposes
* Check and follow up missing shift notes, progress notes, and timesheets
* Support NDIS invoicing processes where required (handover to finance/admin team)
* Maintain professional communication via email, phone, and internal systems
Essential Criteria
* Demonstrated experience using Shift Care (essential)
* Previous experience in NDIS administration and/or rostering
* Strong understanding of disability support environments (ILO, SIL, community access)
* High attention to detail and strong organisational skills
* Ability to manage competing priorities in a fast-paced environment
* Excellent written and verbal communication skills
* Confidence working with confidential and sensitive information
* Ability to work independently and as part of a team
