ABOUT YOU: As Finance Assistant, you will report to the Finance Director APAC and support the finance team to ensure the smooth day-to-day running of Bulletproof's finances. You will be responsible for maintaining accurate and timely records, building strong relationships internally and externally, and ensuring the efficiency of our financial processes. As part of your role is supplier facing, you will be required to ensure a professional manner is conducted and you are representing our Bulletproof brand values in every instance. You will report to the senior team at every juncture to manage and meet the expectations of the team. ABOUT THE ROLE: Your main responsibilities will include: COMMERCIAL Keeping bank reconciliations accurate and up to date. Administering the forecast and invoicing targets, communicating trends with the relevant team members. Processing, tracking and monitoring of client purchase orders and invoicing. Managing credit control, the issuance of client statements, and various client invoicing portals. Bringing financial clarity to the weekly billings meeting with the client service team. Review how projects are tracking against fees and highlight overspends or any other housekeeping issues. Ensuring all client invoices are compliant, accurate, and paid on time. Checking and processing purchase invoices, credit card recs and employee expenses for reimbursement, checking against client's budget allocation, ensuring they are compliant with ATO and HR policies. Ensuring cash flow is being managed and payment terms are being met. Ensuring all documentation is audit compliant. Attending to internal and external queries in a timely and professional manner. Assisting with month end accruals and prepayments, and any other weekly finance executive reports. CREATIVE Promoting the Bulletproof vision and standards across commercial and finance. Finding creative ways to support the finance team in all aspects of commercial finance providing innovative solutions to problems, how to work effectively and efficiently. Facilitating the creation of financial information and providing analysis on how we can use the information to make a difference. Actively participating in a range of initiatives that continue to develop the finance function, helping develop ideas that support the business ambitions. COMMUNICATION Providing financial administrative support to all agency departments. Reporting to the senior members of the finance team, flagging issues and providing solutions. Communicating effectively: being open and honest if facing challenges, demonstrating the ability to communicate roadblocks in a timely manner and asking for help at the right time. Ensuring professional verbal and written communication in all instances, internally and especially externally. Ability to take on board feedback and apply it to further self-development.
