At Coastal Babysitters, we’re all about bringing the fun to kids so parents can relax and enjoy themselves, knowing their little ones are in safe hands. We run everything from wedding childcare to big event activations and kids clubs, and we’re looking for someone to lead the charge with creativity, structure, and care.
This role is perfect for a go-getter who is sales-minded, super organised, a natural planner, and thrives on delivering unforgettable experiences. You’ll manage the full end-to-end of our wedding and event services, from enquiry to pack-up and make sure the wheels are turning behind the scenes.
About the Role You’ll be responsible for sales, event planning, coordination, and team rostering for all things weddings and events. You’ll also work closely with our marketing and bookings teams to keep everything aligned and flowing. This is a hands-on, fast-paced role that blends sales, operations, and creativity.
Key Responsibilities
Sales & Growth
* Respond to all wedding and event enquiries within 24 business hours
* Provide accurate quotes and follow up within 24 hours
* Make weekly sales calls to venues, suppliers, and event organisers
* Build and maintain strong relationships with venues and referral partners
* Attend and organise open days, expos, and supplier meetings
* Update and manage ActiveCampaign leads and workflows
Event Planning & Coordination
* Create and maintain a master calendar of all weddings and events
* Manage bookings for our Fun Aunties and Party Palace setups
* Coordinate all logistics including run sheets, equipment, and team comms
* Ensure all event equipment is clean, stocked, and ready to go
* Come up with new ways to elevate our event experience
* Oversee on-site setup and pack down where needed
* Work closely with the team to make each event smooth, safe, and fun
Team & Admin
* Roster and brief event sitters with clear, organised instructions
* Support sitter training and ensure procedures are followed
* Raise invoices and ensure payments are finalised pre-event
* Assist with face painting and event add-on bookings
