The Role
The Project Coordinator plays a pivotal role in the successful delivery of Optix Australasia's project portfolio. Reporting directly to the Senior Operations Manager (APAC), they will support the operational execution of client projects from setup through to completion, ensuring timelines, budgets, and documentation are managed effectively.
They will work closely with cross-functional teams including Client Experience, Logistics, Finance, and Operations, acting as a key point of coordination and communication. This role is ideal for someone who enjoys managing detail, improving processes, and contributing to projects that have a real-world impact on safety outcomes.
Key responsibilities include:
* Coordinating and supporting the delivery of multiple client projects across the portfolio
* Project setup and administration including quoting, ordering goods and materials, and maintaining all project documentation
* Developing and managing project plans, schedules, Gantt charts, and financial tracking
* Creating, tracking, and monitoring purchase orders, invoices, and project budgets
* Preparing reports for internal stakeholders and external clients
* Identifying opportunities to improve operational processes and implementing practical solutions
* Ensuring the company's standards, documentation, quality, and integrity are upheld at all times
* Supporting additional duties aligned with the role in a dynamic and evolving environment
The Candidate
The ideal candidate is a highly organised and proactive Project Coordinator with strong communication skills and a customer-focused mindset.
You are comfortable managing multiple priorities, working autonomously, and collaborating across teams to meet deadlines.
* A tertiary qualification in Project Management or a related field, or equivalent industry experience
* Proven experience in project administration or coordination (experience in mining or transport industries is advantageous)
* Strong organisational skills with the ability to coordinate and implement project activities
* Experience interpreting client requirements and providing accurate, timely advice
* Proficiency in scheduling and planning tools such as MS Project, Smartsheet, or similar project management systems
* High-level proficiency in Microsoft Office (Outlook, Excel, Teams, etc.)
* Excellent time management and attention to detail
* Professional written and verbal communication skills across face-to-face, video, phone, and email
* Strong interpersonal and relationship management skills
* A proactive problem-solver with sound judgement and the ability to contribute to continuous improvement
* A high level of integrity and alignment with the company's values and ethics
* Flexibility to attend occasional after-hours meetings and travel to client sites as required
