To support this next phase, we are strengthening the CEO's office and seeking an experienced Executive Assistant to the CEO & Board to help maintain momentum, bring discipline to follow-through, and support governance and stakeholder engagement.
About The Role
This is a senior Executive Assistant role with a strong emphasis on coordination, judgement, and execution. The position operates as a trusted extension of the CEO—protecting leadership focus, maintaining organisational rhythm, and ensuring meeting outcomes translate into clear actions and follow-through.
This is a newly created role for Muru Mittigar and the first Executive Assistant position supporting the CEO. The successful candidate will be comfortable building an effective working rhythm from the ground up—establishing practical systems, clarifying preferences, and iterating ways of working to maximise impact, while maintaining discretion, professionalism, and pace.
As this is a newly established CEO office function, you will help introduce a more consistent operating rhythm—supporting clearer prioritisation, disciplined follow-through on actions, and professional engagement pathways across the organisation. Success in the role will require strong stakeholder management, sound judgement, and the ability to reinforce agreed ways of working while maintaining positive working relationships.
You will use modern digital and AI-enabled tools to improve the efficiency, quality, and timeliness of briefs, communications, and reporting—while maintaining appropriate confidentiality, governance standards, and human oversight.
For the right candidate, there is a genuine opportunity to expand scope over time and progress into a Chief of Staff-style role—supporting broader executive coordination, strategic follow-through, and cross-organisation alignment as Muru Mittigar continues to scale.
Given the nature of the role and our stakeholder footprint, the position may include occasional travel and, at times, work outside standard business hours to support events, consultations, meetings, and key organisational commitments.
Key Responsibilities
Executive Support & Executive Coordination
* Manage the CEO's diary, workflow, scheduling, and correspondence with strong prioritisation and discipline
* Prepare agendas, briefs, reports, presentations, and decision-ready documentation
* Attend executive and senior leadership meetings as required, taking accurate minutes and capturing decisions and actions
* Maintain action registers, assign follow-ups, track progress, and drive closure across senior leaders and teams
* Anticipate issues, identify risks, and escalate matters requiring CEO attention
* Manage sensitive information with discretion and sound judgement
* Provide limited private-task support during peak periods
Acting as a Delegate for the CEO (Internal)
* Represent the CEO in internal meetings with senior managers when appropriate to maintain momentum and continuity
* Reinforce agreed direction, clarify expectations, and ensure outcomes and actions are understood and progressed
* Maintain professional boundaries while confidently engaging at senior levels
Board & Governance Support
* Coordinate Board meeting schedules, director availability, and meeting logistics
* Prepare and distribute agendas, Board papers, and supporting documentation
* Record accurate minutes and maintain governance action and decision registers
* Coordinate Board community, cultural, and stakeholder engagements
* Manage Cultural Consultation schedules, attendance tracking, briefing notes, and invoicing
* Support disciplined governance processes that are audit-ready and well-documented
Event, Consultation & Engagement Management
* Coordinate internal and external events led by the CEO and/or Board, including community and stakeholder consultations
* Manage logistics end-to-end, including schedules/run sheets, invitations/RSVPs, venues, suppliers, materials, and on-the-day requirements
* Support consultation preparation, including briefing packs, attendee coordination, note-taking/minuting where required, and follow-up actions
* Maintain event and consultation documentation, action items, and post-engagement reporting as required
Brand, Communications & Promotion Support
* Support the CEO and leadership team to strengthen the organisation's brand presence and professional presentation
* Draft and coordinate CEO correspondence, internal updates, and stakeholder communications
* Contribute to the planning and production of content that promotes Muru Mittigar's work, ensuring quality, consistency, and alignment to organisational priorities
* Prepare speeches, presentations, talking points, and public-facing materials
* Support digital content workflows and approvals, using AI-assisted tools appropriately while retaining accountability for accuracy, tone, and cultural considerations
Stakeholder & Relationship Coordination
* Liaise with government, corporate, community, and sector partners
* Support briefing preparation, engagement logistics, and follow-up documentation
* Ensure professional and culturally respectful representation across engagements
Project, Performance & IMS Support
* Support KPI tracking, dashboards, and reporting cycles
* Assist with project planning, milestone tracking, and cross-team coordination
* Prepare project updates and support project close-out
* Assist with IMS document control, compliance tracking, and audit preparation
About You
You bring maturity, discretion, and strong executive presence. You are confident operating in senior forums, documenting outcomes precisely, and holding people to account for delivery—without overstepping authority. You are solutions-focused, calm under pressure, and effective at driving clarity and follow-through. You are also comfortable with ambiguity and able to push back appropriately when priorities, quality, or risk require it.

Qualifications & Experience
* Business Administration qualification (or similar), or equivalent experience
* Minimum 5 years' experience supporting a CEO, executive team, and/or Board in a complex, governance-driven environment
* Demonstrated experience establishing effective "CEO office" ways of working (or supporting a leader who has not previously had an EA), including building practical systems, cadence, and communication preferences
* Proven capability taking accurate minutes in senior forums and maintaining action registers, including driving follow-through and closure across stakeholders
* Experience operating with strong judgement and discretion in sensitive matters, including the confidence to push back appropriately when required
* Proven experience preparing professional agendas, minutes, Board papers, executive correspondence, and presentations
* Demonstrated experience coordinating events and/or community/stakeholder consultations (desirable)
* Current NSW driver's licence (required)
* Ability to obtain and maintain a Working with Children Check, National Police Check, and General Construction Induction Training (White Card) (required)
* Experience working respectfully with Aboriginal and Torres Strait Islander communities (desirable)
Remuneration & Benefits
* Base Salary: A$90,000–A$110,000 per annum plus superannuation
* Salary Packaging: As a registered not-for-profit, Muru Mittigar may offer eligible employees access to salary packaging arrangements under Australian tax and FBT concessions. This can increase the overall value of your remuneration by enabling eligible pre-tax allocations in line with ATO rules and organisational policy.
