JobScout Pty Ltd are working to assist our client, Aussie Green Lighting, a specialist provider of energy-efficient LED lighting solutions for commercial and residential properties across Victoria. The company offers full consultation and installation services, supplying and installing a wide range of LED products including LED High Bays, LED Floodlights, LED Panels, LED Battens, and LED Shop Lights. Aussie Green Lighting works with businesses, schools, offices, warehouses, and homes to reduce energy costs and carbon footprints through professional lighting upgrades, leveraging government-backed energy efficiency incentives. Our client is seeking a full-time, ongoing Contract Administrator to join their team. This role is responsible for planning and managing the administration of the company’s installation contracts, including preparing, interpreting, maintaining, reviewing, and negotiating contract variations on behalf of the organisation. The successful candidate will play a key role in ensuring contracts are executed on time, within budget, and to the highest standard. Responsibilities of our Contract Administrator will include: ·Plan and undertake the administration of contracts relating to commercial and residential LED lighting installation works. ·Prepare, review, interpret, and negotiate contract terms and variations with clients, contractors, and suppliers. ·Respond to contract-related inquiries and resolve issues concerning contract scope, obligations, and deliverables. ·Manage and maintain all contract documentation, including agreements, variations, compliance records, and supporting paperwork. ·Monitor contract performance to ensure compliance with agreed terms, timelines, and quality standards. ·Liaise with Managers, electricians, site assessors, and other stakeholders to support contract execution and compliance. ·Provide advice to senior management on contractual matters and implement approved decisions. ·Assess, document, and report on variations to contracts and work orders. ·Coordinate and administer contractual schedules, including timelines for site assessments, installations, and service delivery. ·Maintain accurate records of contract activities, correspondence, and reporting requirements. ·Support procurement processes by administering supplier agreements and ensuring contractual compliance in purchasing activities. ·Assist in the preparation and review of contract budgets, cost estimates, and financial reporting. ·Monitor contract expenditure and ensure alignment with agreed budgets and financial terms. ·Ensure all contracts comply with relevant Australian standards, regulatory requirements, and workplace health and safety obligations. ·Administer documentation required for government rebate and incentive programs in line with contractual obligations. ·Maintain organised filing systems and databases for all contract-related documentation and records. To be successfully considered for the role, you: Possess an AQF associate degree, Advanced Diploma, or Diploma in a relevant field such as contract Management, Business Administration, or law (Non-construction context). At least three years of relevant experience may substitute for formal qualifications. In some instances, relevant experience and/or on-the-job training may be required in addition to the formal qualification. Have at least 1 years professional experience in a contract administration role. Demonstrate strong organisational and administrative skills with the ability to manage multiple contracts simultaneously. Have strong interpersonal and communication skills, both written and verbal. Are able to work under pressure and to tight deadlines. Are self-motivated with the ability to manage competing priorities. Have well-developed organisational skills and prioritising skills with an eye for detail. Are proficient in contract management tools, Microsoft Office Suite, and general business software. Are energetic, hardworking, and able to work autonomously as well as part of a team. Have experience in contract administration and managing related documentation. Have experience working in the construction, trades, energy, or lighting industry (desirable). Are you an organised and detail-oriented professional with a passion for keeping contracts on track?
