Position Title: Co-Curricular and Events Administrator
Position Status: Full time (Negotiable)
In Term time weeks only including 2 weeks (PD Weeks)
Key Relationships
This position reports to the Sport Coordinator, CAPA Coordinator and Deputy Principal, and works collaboratively with the Student Support Officer. All positions at the School ultimately report to the Principal.
Primary Role
Orange Christian School is seeking a passionate and committed Co-curricular and Events Administrator (CEA) to provide Christ-centred service across Creative And Performing Arts (CAPA), Sport and School Events. The role supports the effective organisation, administration and smooth running of the School's co-curricular programs and events, contributing to the School's vision and mission of raising leaders of godly character through the creative, artistic, and sporting gifts God has bestowed.
The Co-curricular and Events Administrator provides efficient, accurate administration and supports the School's strategic directions in delivering high-quality CAPA, Sport, and School event experiences. The role works primarily in support of the CAPA Coordinator, Sports Coordinator and Events Team and is part of the wider administration support team, committed to working collaboratively and contributing positively to the Christian culture of Orange Christian School.

Experience, Skills, and Compliance

* Relevant training and/or qualifications, or equivalent qualifications and experience

* Highly developed administrative skills
* High attention to detail with the ability to manage competing priorities and meet deadlines
* Proficiency in MS Office suite software, and strong editing and formatting skills to produce correspondence, schedules, reports, and documents
* Confidence in the use of school or office‐based administration systems, databases, and digital platforms (for instance Edumate)
* A strong ability to build rapport and positive relationships

KEY RESPONSIBILITIES
Creative and Performing Arts (CAPA)
* Provide efficient administrative coordination of the School's CAPA programs, including instrumental and vocal music tuition
* Coordinate timetables, schedules, communication, and documentation related to CAPA activities
* Maintain accurate records of student participation, tutors, equipment, and resources
* Support and coordinate the planning and logistics of performances, rehearsals, and musical productions
* Assist in the maintenance of art supplies and art classrooms/storage, including cleaning clothes and equipment
Sport
* Provide administrative support for the School's sport program, including weekly sport, carnivals, and gala days
* Coordinate sporting event logistics, including transport, venues, equipment, catering, and permissions
* Maintain accurate sport‐related records, documentation, and communications
* Support the Sports Coordinator and liaise with staff, families, and external organisations to ensure smooth coordination and compliance
School Events
* Provide administrative coordination for School events, excursions, and special programs in conjunction with the Student Support Officer
* Arrange event logistics, including transport bookings, venue hire, accommodation, and food and beverage ordering as required
* Prepare and manage event documentation, schedules, correspondence, and timelines
* Maintain accurate records and support post‐event administration and follow‐up
General Administration and Compliance (Across All Areas)
* Provide accurate, timely, and confidential administrative support to the Sports Coordinator, CAPA Coordinator and the Events Team
* Work collaboratively with the Student Support Officer to support the smooth planning and delivery of School events
* Exercise professionalism, discretion, and integrity in all aspects of the role
Other Duties
* Contribute constructively to whole‐school activities and co‐curricular programmes that support the educational and spiritual life of the School
* Carry out other duties as directed by the Principal or delegate, provided such duties are consistent with the nature of the role and the mission and values of the School
Contract Information: This position will be offered as a fixed‐term contract until the end of the 2026 school year (end of Term 4, 2026), subject to review for an ongoing appointment.
