About the Role:
Due to continued growth, Zero 9 is looking for an experienced, detail-oriented, and organized ‘Office Administrator Superstar’ to join our HQ at Burleigh Heads for an immediate start. You will work closely with the Financial Controller and Projects Department, supporting seamless general office administrative tasks.
Key Responsibilities:
1. Schedule, monitor, and maintain stock levels and servicing records for fire extinguishers and first aid kits.
2. Prepare subcontractor compliance contracts and PSC-2 Agreements.
3. Maintain subcontractor contract compliance within the portal.
4. Monitor and update subcontractor documentation and compliance in our safety software.
5. Manage internal worker competency registers, organizing annual face fit tests and medicals under HR guidance.
6. Organize and schedule staff travel and accommodation within project and company budgets, under the guidance of the Project Administrator.
7. Liaise with the Projects team to arrange client handover gifts.
8. Assist in developing project-specific maintenance manuals.
9. Assist in creating client handover documentation.
10. Help develop internal cost trackers when new projects are awarded.
11. Order staff amenities and stationery monthly.
12. Organize team birthday wishes and shout outs as the ‘Celebration Champion’.
13. Assist with other general administrative tasks as required.
About You:
We seek someone who is organized, detail-oriented, and enjoys multitasking in a fast-paced environment.
What You’ll Need:
* Minimum 2 years’ experience in an administrative or office support role.
* Excellent administrative and organizational skills with keen attention to detail.
* Proficiency in Microsoft Office, Word, Excel, and related tools.
* Exceptional written and verbal communication skills.
* Motivated work ethic.
* Strong commitment to Quality, Health, Safety, and Environmental standards and legislative requirements.
The following are advantageous but not necessary:
* Experience with Xero or similar accounting software.
* Familiarity with the construction industry and Master Builders templates.
* Ability to read and interpret plans.
