The role
As the Senior Executive Assistant, you’ll provide high‑level, confidential administrative support to the Chief Executive Officer (CEO) and play an important role within the Strategic Operations Team.
This position is ideal for someone who is proactive, detail‑focused, and able to confidently manage competing priorities while building strong relationships across the organisation.
What you'll do
In this role, you will:
* Manage the CEO’s diary, email inbox, priorities, and daily workflow.
* Coordinate internal and external engagements, including preparing meeting materials and responding to stakeholder enquiries.
* Provide secretariat support for meetings including drafting agendas, taking minutes, managing action items, and assisting with Terms of Reference and work plans.
* Support the development of high-quality reports, briefings, and correspondence for the Board, Department of Health, and key stakeholders.
* Support organisational reporting aligned to the Operational Plan, Strategic Plan, and performance and quality frameworks.
* Assist with internal events and administrative coordination across the organisation.
* Complete routine financial administration, including invoice processing, credit card reconciliations, and contract administration activities.
* Maintain accurate, secure records and uphold confidentiality at all times.
* Champion the NQPHN Style Guide by assisting with document proofing and formatting to ensure high-quality, consistent materials.
* Contribute to shared administrative functions, including reception coverage, travel booking support, and monitoring generic inboxes, as part of the Business Administration Team.
* Contribute to continuous quality improvement and mentor colleagues as needed.

Key selection criteria
* Tertiary qualifications in Administration or similar and/or 4 years relevant work experience in a similar role, highly desirable.
* Excellent interpersonal and written communication skills, with demonstrated experience in creating agendas, minutes, reports, correspondence, and project documentation to a professional standard.
* Well-developed organisational and problem-solving skills, and specifically the ability to work collaboratively with others to effectively problem-solve.
* Experience in preparing reports for Boards and/or government.
* Experience in providing high quality secretariat support to committees.
* Demonstrated ability to plan, meet deadlines and prioritise complex workloads while working autonomously, and to be flexible in a changing teamwork environment.
* A high level of attention to detail and time management skills and applications.
* Sound knowledge of Microsoft Office suite and the ability to become proficient in other software programs as required.
