Hillebrand Gori is looking for a Business Process Operations Manager.
Job Purpose
The Business Process Operations Manager is responsible for leading and managing changes in operational, customer service, and business process outsourcing functions across both Sydney and Adelaide offices. Reporting directly to the Country Manager, this role ensures the efficient execution of import and export activities, compliance with global standards, and delivery of exceptional service to customers and partners.
In the first year, you will start with in-depth knowledge in Sydney Operations, lead a team of Team Leaders and Operations Coordinators, driving excellence through process improvement, team development, and financial performance management. The role requires a strong operational background, people leadership capability, and a strategic approach to continuous improvement across both locations.
Key Responsibilities
Leadership & Team Management
Provide leadership, mentorship, and direction to Team Leaders and Operations Coordinators in Sydney.
Develop and maintain a collaborative, high-performing team culture aligned with company values and performance expectations.
Oversee recruitment, onboarding, training, and professional development of staff to ensure strong operational capability.
Conduct regular one-on-one and team meetings to review performance, address concerns, and support continuous growth.
Manage workforce planning, including scheduling, leave management, and performance reviews in collaboration with team leaders.
Operational Management – Import, Export & BPO
Oversee all import, export, and BPO operations across Sydney, ensuring smooth, compliant, and efficient processes from order creation to final delivery.
Ensure adherence to company policies, global freight agreements, SOPs, and industry regulations.
Maintain high data integrity and system accuracy across all operational functions.
Act as escalation point for complex operational issues, resolving them promptly and effectively.
Coordinate insurance matters, including claim lodgements, investigations, and settlements.
Financial & Performance Accountability
Maintain accurate financial documentation and oversee month-end closing processes for both locations.
Prepare and analyze operational and financial performance reports (including MEC reports).
Manage and control departmental budgets, ensuring cost efficiency and profitability.
Monitor KPIs and SLAs to ensure targets are met or exceeded across all business areas.
Identify cost-saving and process improvement opportunities through data-driven analysis.
Client & Stakeholder Management
Serve as the key point of contact for local and international customers, suppliers, and service providers.
Build and maintain strong relationships with internal and external stakeholders, including Hillebrand GORI offices, agents, shipping lines, and transport providers.
Ensure consistent communication and timely resolution of customer issues or service disruptions.
Support business development initiatives through operational excellence and customer satisfaction.
Process Improvement & Quality Assurance
Drive continuous improvement initiatives across both Sydney and Adelaide operations to enhance efficiency, service quality, and compliance.
Review and update Standard Operating Procedures (SOPs) regularly to reflect best practices and global standards.
Lead operational audits, risk assessments, and quality checks to ensure adherence to company and regulatory requirements.
Leverage technology and automation to streamline processes and improve data accuracy.
Compliance, Risk & Technology Oversight
Ensure all activities comply with customs, freight and trade regulations, as well as company policies.
Identify and manage operational risks, implementing preventive and corrective actions as needed.
Collaborate with IT and global teams to enhance system performance and introduce digital process improvements.
