The Role
We are seeking an experienced Executive Assistant to support HUB24's Chief Operating & Growth Officer. This role is based in Sydney, requiring in-office presence four to five days a week. You will play a vital role in supporting the executive and collaborating on company-wide initiatives.
Responsibilities
1. Provide daily executive support to the Chief Operating & Growth Officer, including decision-making and problem-solving.
2. Improve efficiency for the Operations and Growth teams through process implementation and continuous improvement.
3. Support key leadership team members with administrative tasks as needed.
4. Enhance the Chief Operating & Growth Officer's productivity through prioritization, diary and mailbox management, preparation, and follow-up.
5. Prepare content for Board papers, draft communications, and develop PowerPoint presentations and project materials.
6. Manage travel arrangements, invoices, expenses, and approvals.
7. Organize quarterly town halls, offsites, and team-building activities.

* Ability to craft concise, accurate content for an executive audience.
* Strong presentation and argumentation skills.
* Ability to build rapport and credibility.
* Manage deadlines and adapt to stakeholder inputs with flexibility.
* High attention to detail and organizational skills.
* Ability to work independently and collaboratively.
* Experience supporting at an executive level.
* Proficiency in MS Office Suite, including Word, Excel, and PowerPoint.
* Experience producing correspondence, minutes, reports, and presentations.
* Excellent negotiation and problem-solving skills, maintaining confidentiality and discretion.
