Position Overview

The Club Administration Coordinator is a pivotal role within Erina Leagues Club, providing hands-on support across finance, operations, marketing and administration.

Reporting directly to the CEO and working closely with the Chief Financial Officer, Operations Manager and Marketing Manager, this role offers a unique opportunity to gain exposure to multiple facets of a large, community-focused business.

Ideal for someone with a strong administrative or accounting background, this position goes beyond traditional office support, offering the chance to broaden your skillset, contribute to key projects, and play an active role in the day-to-day success of the club.

We are looking for a highly organised, detail-oriented and proactive individual who thrives in a fast-paced environment and enjoys working across a variety of business functions.

Key Responsibilities

Finance & Administration Support

* Assist the Chief Financial Officer with accounts payable, receivable and payroll functions
* Process invoices, reconcile supplier accounts and assist with payment preparation
* Support weekly payroll processing, ensuring accuracy and timeliness
* Assist in maintaining financial records, documentation and reporting
* Maintain accurate filing and record-keeping systems
* Provide general financial administration support as required

Operational Support

* Provide administrative support to the Operations Manager in the day-to-day running of the club
* Assist in coordinating suppliers, service providers and operational documentation
* Support general office functions including correspondence, document preparation and scheduling
* Assist in maintaining internal systems, processes and procedures
* Manage and prioritise shared inboxes, including drafting responses to enquiries
* Support compliance administration including registers, incident reporting and staff certifications

Marketing & Events Support

* Assist the Marketing Manager with promotions, events and functions
* Provide administrative support for event planning and coordination
* Assist with POS setup and updates for promotions and campaigns
* Support the coordination of marketing materials and communications

General Responsibilities

* Provide high-level administrative support to the senior leadership team
* Assist with the coordination and delivery of internal projects and initiatives
* Support HR administration including onboarding documentation and staff records
* Assist in preparing internal communications, memos and staff notices
* Coordinate supplier communications including quotes, orders and follow-ups
* Maintain a professional, organised and efficient office environment
* Support collaboration across departments to ensure smooth club operations
* Maintain strict confidentiality across all areas of the business

Skills & Experience

* Previous experience in administration, office support or finance administration
* Experience with Xero or similar accounting software (highly desirable)
* Exposure to accounts payable/receivable processes (highly desirable)
* Strong attention to detail and high level of accuracy
* Excellent organisational and time management skills
* Strong written and verbal communication skills
* Ability to work both independently and collaboratively across multiple teams
* Proficiency in Microsoft Office and general business systems
