About the Role
We are a well-established and progressive accounting firm located in Wolli Creek, looking for an experienced and proactive Office Administrator to join our supportive team. This is a full-time, in-office role where you will play a key part in ensuring the smooth operation of our practice and delivering exceptional service to our diverse client base.
You will work closely with our director and accounting team, providing high-level administrative, client liaison, and operational support in a dynamic and professional environment.
Key Responsibilities
* Provide executive-level administrative support to director and senior staff
* Manage day-to-day office operations, including supplies, records, and client communications
* Handle ATO and ASIC correspondence, lodgements, and client-related compliance tasks
* Assist with client onboarding, entity setups, and engagement documentation
* Maintain and update client databases and practice management systems (e.g., Xero Practice Manager, FYI Docs)
* Schedule meetings, manage calendars, and prepare client documentation
* Support with billing, debtor management, and monthly reconciliations
* Contribute to process improvements and internal projects
* Provide friendly and professional reception cover as needed
About You
* Minimum 3 years of experience in an administrative role within an accounting firm
* Strong knowledge of ATO processes, ASIC compliance, and corporate secretarial tasks
* Proficiency with Microsoft Office Suite and accounting software (Xero, XPM, FYI, NowInfinity advantageous)
* Excellent communication skills, both written and verbal
* Highly organised, detail-oriented, and able to prioritise effectively
* Proactive, reliable, and a genuine team player
* Ability to handle confidential information with integrity
