A unique opportunity exists for a full time Administration Coordinator to join our exciting Centre Management team at Pacific Epping Shopping Centre. Working within the friendly and dynamic Operations team, this role will allow you to showcase your existing facilities administration skills.
What You'll be Doing
* Prepare and implement the Marsh audit document and comply with the monthly, quarterly, half and full year requirements as set out in this document
* Attend monthly risk management meetings and follow up on action items
* Raising Purchase Orders and paying invoices
* Ensure the accurate recording and filing of all incidents and elevate to the appropriate managers/stakeholders
* Ensure all contractors are taken through on-site induction and comply with the regulations and rules of working within the centre
* Maintain each contractors' public liability and workers' compensation insurances
* Ensure compliance with internal policy and procedures
* Ensure the accurate maintenance of contractor details to comply with internal and Marsh risk management
* Complete all operations filling and ad hoc administration in an accurate and timely manner
* Assist with tenant's queries and complaints and ensure all operational complaints are recorded and escalated
* Ensure the raising of purchase orders is carried out accurately and in a timely manner
What You'll Bring
* Prior experience in property, assets and facilities management in a retail shopping centre environment or similar
* Minimum 2 years' prior experience, working in operations or facilities administration
* Competent level of computer proficiency with Excel, Word, Outlook and PowerPoint
* Ideally experience working on Platforms i.e CBRE (not essential)
* Excellent problem solving skills
