About the Role
We are looking for a highly organized, adaptable, and proactive Business Operations Coordinator to work closely with the company leader and ensure smooth day-to-day operations. This position blends operational oversight with hands-on administrative execution, helping keep priorities on track, workflows efficient, and the business running smoothly.
You will be a key partner in daily business operations — anticipating needs, removing obstacles, and managing execution across multiple areas. The role offers the opportunity to develop new skills, grow into expanded responsibilities, and directly contribute to the success of a growing business.
Key Responsibilities
Leadership & Administrative Support
* Manage and optimize the company leader's calendar, inbox, and travel.
* Prepare meeting agendas, briefing documents, and follow-up summaries.
* Screen, prioritize, and respond to communications on behalf of the company leader.
* Track key commitments, deadlines, and deliverables.
Operations Management
* Collaborate on daily business operations, tools, and workflows.
* Maintain and improve operational processes for efficiency and scalability.
* Manage vendor and contractor relationships.
* Manage company file structure, project documents, and archives
* Collaborate with the company leader on special projects as assigned. (i.e. oversee updates to the website / collaborate on development of the careers portal)
Qualifications
* 3+ years in a role providing both operational and administrative leadership.
* Exceptional organizational, communication, and problem-solving skills.
* High level of discretion with confidential / customer information.
* Strong proficiency with productivity tools (Google Workspace, Microsoft Office, CRM/project management software).
* Thrives in a fast-changing environment and can take on diverse responsibilities.
* Must be based in the Charlotte, NC Metro Area and able to attend in-person meetings.
* Experience in professional services, consulting, or fast-paced small business environments is a plus.
Preferred:
* Proficiency in Zoho One suite of applications (or similar business management software, with willingness to learn Zoho One).
* Ability to leverage AI tools to increase output, compile multiple sources of information into initial drafts and communications for review.
* (optional) CAPM certification or demonstrated project management experience.
