About This Opportunity This is a rare opportunity to work at the centre of the University’s senior leadership, providing trusted, high-level executive support to the Deputy Provost and Senior Vice-President. As Senior Executive Assistant within the Office of the Provost, you will play a pivotal role in enabling effective decision-making, governance and strategic coordination across a complex and influential portfolio that shapes the University’s academic and institutional direction. Operating in a fast-paced, high-profile environment, this role requires exceptional judgement, discretion and organisational capability. You will manage competing priorities, engage confidently with senior stakeholders across the University and external partners, and ensure the seamless operation of executive activities, communications and governance processes. Key responsibilities will include : Provide high-level executive and administrative support to the Deputy Provost and Senior Vice-President, ensuring the efficient coordination of diaries, correspondence, travel and priorities. Manage and prioritise the day-to-day operations of the Office of the Provost, maintaining effective administrative systems, workflows and governance processes. Coordinate executive meetings, committees and engagements, including scheduling, preparation of papers, minute taking and follow-up actions with senior stakeholders. Act as a key liaison point for internal and external stakeholders, handling sensitive and confidential matters with professionalism, discretion and sound judgement. This is a full-time, continuing position at HEW Level 6. About You A highly experienced executive assistant with a proven track record supporting senior leaders in complex, fast-paced environments. Exceptional organisational skills, with the ability to manage competing priorities, anticipate needs and meet tight deadlines with minimal supervision. Highly developed interpersonal and communication skills, enabling effective engagement with senior executives and diverse internal and external stakeholders. Demonstrated discretion and sound judgement when handling confidential, sensitive and high-risk matters. Strong problem-solving capability, with the confidence to assess issues, escalate appropriately and drive timely outcomes. A strong understanding of governance, administrative and financial processes within large, complex organisations, ideally within a university or similar institutional setting. The successful candidate may be required to complete a number of pre-employment checks, including right to work in Australia and a criminal check.
