An exciting opportunity is available for an Administration Assistant to join our Administration team in the Business Services Unit.

Are you bright, enthusiastic, and eager to make a meaningful impact? Join our dynamic Business Support Unit as an Administration Assistant. Reporting directly to the Office Manager, you will be instrumental in overseeing our print room operations to deliver top-notch services promptly and efficiently to our practice groups.

Working closely with our experienced team, you will play an integral role in delivering efficient, cost-effective operational services of the print room, safe custody and archiving processes within the office, as well as administrative and reception duties.

Your diverse responsibilities will include:

Printroom

* Monitor and manage the Printroom inbox and action incoming requests.
* Attend to all photocopying, binding, scanning and collating requests, including outsourcing of large jobs as required.
* Fill all photocopiers and printers daily and maintain supplies.
* Stationery ordering in consultation with the Office Manager.
* Maintain Printroom equipment and ensure Printroom areas are kept tidy and in an order.
* Maintain printers and copiers and arrange service calls as required.

Archiving/Destruction

* Attend to archiving related duties including archiving, managing archive retrieval requests and the return of archived items to storage.
* Assist with destruction of archived files.

Safe Custody

* Attend to the safe custody process including registering documents on our system and sending to off-site storage, managing safe custody requests (internal and external) and the return of safe custody items to storage.

Office Services, outside Clerk and administration

* Process and deliver incoming and outgoing mail.
* Assist with inter office / workstation moves and ancillary tasks.
* Empty all staff recycling bins weekly and assist with the bin changeover with supplier.
* Empty staff dishwasher, maintain a tidy kitchen and clean the coffee machine daily.
* Assist departments with file openings and closures when required.
* When requested, attend Court / government department to lodge / file documents.
* Attending to deliveries as required.
* Supporting project work as directed by the Office Manager.
* Other ad hoc administrative duties as directed by the Office Manager.

Reception

* Operating switchboard, closing reception, seeing to clients when they arrive for meetings, notifying staff of client arrivals, making sure meeting rooms / reception are tidy, making coffees, monitoring and management of reception inbox, ordering couriers.

To be successful in this role you will have:

* Excellent customer service, communication and interpersonal skills.
* Impeccable organisational and time management skills.
* A meticulous attention to detail.
* Exceptional problem-solving skills and the ability to work under pressure.
* An ability to work collaboratively with team members and build positive workplace relationships.
* Capacity to work autonomously and be self-motivated.
* Proficiency in the use of office software, including MS Office Suite (Word, Excel, PowerPoint, Outlook).
* Experience in a similar role is preferred.
