Your new role
Reporting to the Senior Document Controller, you will be responsible for providing accurate, compliant and timely document management support across the program. Your duties will include:
Document Control Operations
Applying standardised naming conventions, metadata requirements and version control to ensure accuracy and integrity.
Coordinating notices, information requests, transmittals and correspondence in line with approved project processes.
Maintaining document registers and logs, ensuring secure storage within systems such as Objective, SharePoint, OneDrive or other DMS platforms.
Processing review workflows and formatting documents for approval and publication.
Assisting project teams with document classification, retrieval and metadata tagging.
Acting as the first point of contact for document control enquiries and escalating complex matters as required.
Compliance, Reporting & Quality Assurance
Conducting regular internal audits to identify gaps in metadata, versioning and compliance.
Supporting continuous improvement and promoting adherence to document control procedures.
Preparing regular reports on workflow progress, RFIs and transmittals for stakeholder review.
Coordinating document control meetings, drafting minutes and tracking actions.
Reviewing and recommending process improvements to enhance efficiency and quality.
Other
Providing general support to program needs through ad‑hoc tasks and initiatives.
What you'll need to succeed
Essential
Demonstrated experience as a Document Controller or in records management within major infrastructure, construction or office environments.
Excellent attention to detail and a proactive, solution‑focused approach.
Strong proficiency in Microsoft Office and solid experience with cloud‑based DMS platforms (e.g. Aconex, Objective, SharePoint, TeamBinder, OneDrive).
Strong written and verbal communication skills.
Knowledge of version control, metadata standards and transmittal processes.
Desirable
Exposure to Power BI reporting.
Understanding of ISO standards and project documentation requirements.
