Video Conferencing Coordinator Job Description
The Video Conferencing Coordinator plays a crucial role in ensuring seamless video conferencing operations.
Main Responsibilities:
* Coordinate all VC bookings utilizing the online booking system to ensure efficient use of resources.
* Communicate with court and Correctional Centre staff to minimize prisoner wait times and rescheduling of court events, promoting timely processing of cases.
* Monitor the live feed of all videoconferences and communicate with courts, legal representatives, and custodial officers regarding internal prisoner movements, completions, cancellations, and delays, maintaining accurate records and facilitating informed decision-making.
* E nsure the sharing of information with other custodial centres, Sentence Management, courts, and legal representatives regarding prisoner placement and movement/transfers, enhancing collaboration and coordination among stakeholders.
* Monitor prisoner responses to their court outcomes where possible and communicate where necessary to custodial officers and Offender Development, providing support and guidance to individuals impacted by court decisions.
* E nsure the appropriate exchange of information with key agencies to optimize the use of resources, streamline processes, and improve outcomes.
* Build relationships with key stakeholders to facilitate a better information flow regarding videoconferencing activities, fostering trust and cooperation among partners.
* Schedule visits with local courts and other external stakeholders to maintain clear working relationships with the Judiciary, court staff, and other professionals in these locations, ensuring effective communication and collaboration.
* Maintain agency electronic recording systems as required, collate information, and ensure comprehensive recording and documenting of all information collected during the videoconferencing process, adhering to data protection regulations and policies.
* Assist with monitoring and maintaining IOMS to ensure accurate statistics are available, informing strategic decision-making and evaluating program effectiveness.
* E nsure the confidentiality of all documentation handled, upholding the highest standards of discretion and professionalism.
* Provide support to other staff on administrative issues and assist with the preparation of memorandums, reports, and correspondence and human resource documentation, contributing to the smooth operation of the team.
