An exciting opportunity has arisen for an Executive Legal Assistant to join a highly respected hospitality and property organisation in Brisbane. What You'll Do

Manage complex calendars and appointments for the General Counsel, ensuring seamless scheduling with internal and external stakeholders.
Organise travel arrangements for the General Counsel and occasionally for the broader legal team, handling logistics with precision and care.
Assist with expense management including corporate credit cards, preparing reports, tracking budgets, and managing billing for external legal services.
Coordinate meetings by organising agendas, taking detailed notes, following up on action items, and facilitating effective communication between parties.
Serve as the first point of contact for the General Counsel by screening calls, emails, visitors, and managing information flow with professionalism.
Proactively anticipate needs of the General Counsel by identifying potential issues early and acting as a strategic partner in daily operations.
Administer fortnightly legal meetings by preparing documentation, monitoring compliance requirements such as CPD, and supporting board arrangements.
Support contract lifecycle management by saving contracts in matter management systems, monitoring key dates, managing execution processes, and conducting annual audits.
Maintain electronic legal files and original documentation while ensuring version control and adherence to filing protocols within document management systems.
Contribute to improvements in legal technology systems by managing intake processes for new matters, updating precedents as directed, and investigating efficiencies.

What You Bring

Demonstrated ability to communicate effectively with staff at all levels as well as external lawyers and regulatory bodies in a professional manner that fosters rapport.
Comprehensive understanding of office management systems and procedures relevant to a busy corporate or legal environment.
Experience working within an in-house legal team or private practice is highly regarded but not essential; willingness to learn is key.
Exceptional phone etiquette combined with advanced computer literacy including proficiency in Microsoft Office applications such as Word, Excel, PowerPoint; experience with LawVu is advantageous but not mandatory.
Proven commitment to upholding high professional standards of ethics and confidentiality when handling sensitive information or privileged documents.
Resourcefulness paired with initiative. Ability to work productively both independently and collaboratively within a team setting while building strong stakeholder relationships
Highly developed interpersonal skills enabling you to build trust quickly across diverse groups within the organisation.
Outstanding planning abilities allowing you to manage multiple priorities under pressure while meeting tight deadlines without compromising quality.
High degree of emotional intelligence demonstrated through sensitivity when dealing with confidential matters or stressful situations.
Meticulous attention to detail ensuring all work products are accurate, well-presented, free from errors; positive attitude towards continuous improvement.
