Job Title
The role of Executive Support Officer is a key position within the regional operations team.
The successful candidate will provide high-level confidential executive and administrative support to the Assistant Commissioner, including human resource and financial administration, records management and secretariate duties.
Key Responsibilities
* Provide a high standard of confidential executive, administrative and business support which includes screening of phone calls.
* Manage appointment diary, organise meetings, workshops, conferences, travel and other events.
* Collate, prepare briefing documentation, coordinate quality assurance of correspondence, reports, presentations, speeches, agendas, minutes and prepare drafts.
* Monitor, prioritise, register, action and disseminate incoming correspondence to effectively manage critical information and workflows.
* Communicate and liaise with staff, clients and stakeholders on a wide range of issues affecting the regional hub business operations in a professional and positive manner.
* Coordinate the administrative operations of the regional office of the Assistant Commissioner to ensure that practices and activities are delivered in a timely and efficient manner.
* Provide secretariat support as required to meetings and committees by preparing agendas, recording and circulating minutes and following up on actions and outcomes.
* Ensure office equipment, resources and supplies are efficiently and effectively maintained.
