We are seeking an experienced Office Manager & Projects Administrator to take ownership of internal administration, project tracking, sales support, and invoicing coordination.
This role is primarily an Office Manager position, with responsibility for ensuring business processes, documentation, time recording, and commercial administration run cleanly and consistently.
While the role includes project tracking and operational oversight, it is not a project manager position. It is an internal coordination and discipline role supporting senior technical staff and the Director.
Key Responsibilities
* Oversee day-to-day office administration and internal processes
* Maintain documentation, contracts, and compliance records
* Support insurance, renewals, and general business administration
* Coordinate internal reporting and dashboards
* Maintain CRM accuracy and sales pipeline tracking
* Prepare proposals, statements of work, and contract documentation
* Track renewals and customer agreements
* Support sales follow-ups and reporting
* Maintain a register of all active projects
* Track planned vs. actual hours and flag potential overruns
* Ensure weekly time recording compliance
* Prepare weekly operational summary reports
* Support coordination between Australian and offshore teams
* Prepare draft invoices based on approved time and milestones
* Coordinate with external bookkeeping support
* Track aged receivables and assist with follow-up
* Ensure accurate revenue timing
