The Opportunity
At Shine, we champion better justice for our clients. As a part‐time, permanent Administration Assistant/Paralegal based in our Ballarat team, you'll be the first person our clients meet with, making a meaningful, long‐lasting impact every day – for the people we support, our legal teams and the entire firm. This position is part‐time, Monday to Friday 10am – 3pm.
You will be a true champion of our clients by:
* Supporting our legal team with administrative tasks and optimising the use of internal systems to process information.
* Cultivating strong relationships and trust through empathy and understanding, interpreting client needs and connecting them with the right legal team members.
* Managing general filing, indexing medical records, requesting documents, processing expenses, photocopying, mail management and archiving to spot opportunities for improvement.
* Responding to inbound calls, couriers and emails from clients and preparing new client documents to ensure they feel looked after, supported and heard.
* Assisting with preparing matters for conference and hearing, including collating briefs to counsel and experts, legal searches, preparing court and legal documents and general correspondence.
* Providing proactive chargeable and non‐chargeable support to our legal team with general administrative duties to obtain maximum compensation for clients, from file opening to closure.
What you'll bring
* Previous administration or business support experience.
* Professional presentation with a customer‐service focus.
* Accurate typing skills with intermediate Word and Excel skills.
* Keen eye for detail in document management and collation.
* Excellent verbal and written communication skills.
* Empathy and a resolute passion for helping people, especially those who have experienced trauma.
* A strong appreciation for the role's importance as the gateway to support our clients.
