What this opportunity involves:
Work at a prestigious Collins St client site as Assistant Facilities Manager! Combining hands-on facilities management with stakeholder engagement to drive continuous improvement. You'll support both JLL and client operations through administrative expertise, reporting, and daily facilities management.
This is a fixed term contract from September 2025 - August 2026.
A snapshot of the role:
Prepare and distribute monthly reporting packages and KPI dashboards for JLL teams
Manage utility accounts, including address verification and master data maintenance
Coordinate vendor meetings for multiple stakeholders, documenting all outcomes
Process purchase orders and invoices for various client operational needs
Monitor work orders, invoices and compliance requirements across property portfolios
Maintain organised digital systems including Property Hub database and file structures
Support property roll in/out procedures including utility connections and disconnections
Assist with site inspections nationwide and provide emergency response support
Build and nurture client relationships at multiple organisational levels
Continuously evaluate contracts and processes to deliver optimal value and efficiency
Ensure the Operational Risk Management process is implemented and maintained.

If you're a confident self-starter, and you love building client relationships then this is the role for you! You've got excellent communication skills and a strong customer service focus. You adopt a hands-on approach to problem solving and can juggle multiple tasks in a dynamic workplace. You think on-the-go and can collaborate with multiple stakeholders with ease. Additionally, you possess:
Prior experience in facilities, property management, hospitality, or related field preferred.
Knowledge of local occupational health and safety requirements, critical facilities and vendor management for specialised services is advantageous.
Understanding of Facilities Management services involving the provision of both reactive and routine maintenance across the allocated portfolio with 24 hour call-out/contract requirement
