Administrative Support Specialist

We are seeking an experienced Administrative Support Specialist to provide high-level administrative and coordination support to a senior leader in a dynamic environment.

* Coordinate comprehensive travel plans, including international travel arrangements, visas, accommodation, and transportation.
* Schedule and manage meetings, appointments, and events, ensuring optimal use of the Director's time.
* Prioritise and triage matters requiring the Director's attention, redirecting to appropriate team members when necessary.
* Manage all incoming and outgoing communications, including emails, workflows, and correspondence.
* Handle expense claims and manage conflicting priorities with agility and sound judgement.

This is a unique opportunity to contribute to a landmark infrastructure project while supporting senior leadership at the highest level.


Key Responsibilities

The successful candidate will be responsible for:

* Coordinating travel arrangements and managing the Director's schedule;
* Maintaining accurate records and files;
* Communicating effectively with stakeholders and team members;
* Providing administrative support to ensure seamless operations.

To succeed in this role, you will require excellent communication and interpersonal skills, as well as the ability to work independently and as part of a team.


Requirements

To be considered for this role, you will need to have:

* Tertiary qualifications in business or a related field;
* Minimum 5 years providing high-level administrative support to senior management;
* Experience working in a fast-paced environment;
* Excellent computer skills and proficiency in Microsoft Office applications;
* High level of confidentiality, attention to detail, and ability to meet deadlines.
