Centre Hours: Monday to Friday, 7:30am – 6:00pm
Part-time hours, 52 hours per fortnight on weekdays only, during centre hours

The Opportunity
Join our dedicated and supportive team in Southport as a Medical Secretary/Administration Officer, where your contribution will help deliver exceptional patient care every day. As part of our administration team, you'll play a vital role in supporting our doctors and ensuring a seamless experience for patients.
Your day will be varied and rewarding, with responsibilities including:
* Team Support: Work collaboratively within the administration team to assist a large group of doctors daily.
* Reception Duties: Rotate between front desk and medical secretary teams, including early and late shifts.
* Patient Admissions: Process hospital admissions, verify private health details, and manage payments for excess and co-pays.
* Financial Transactions: Collect funds for NIL and oversee patient accounts at appointment completion.
* Patient Engagement: Welcome patients, update personal details and referrals, and ensure records remain accurate.
* Arrival Management: Mark patient arrivals and manage waiting room functions for both the medical practice and day hospital.
* Booking Coordination: Organise theatre and hospital bookings using CHARM and Totalcare systems.
* Liaison: Communicate with patient admission teams regarding treatment changes and eligibility.
* Information Management: Maintain and manage patient records with accuracy and confidentiality.
* Safety & Compliance: Support Icon's WHS Officers and committees in fulfilling their responsibilities.
* Culture & Values: Model and promote Icon's vision and values in every interaction.
What We're Looking For
We're looking for someone who thrives in a fast-paced environment and is committed to delivering outstanding service. Ideally, you'll have:
* Previous experience in a similar healthcare administration role
* Familiarity with Medicare, DVA, and private health processes
* Strong organisational and time management skills
* Clear and confident communication skills, both verbal and written
* Proficiency in Microsoft Word and Excel
* A customer-focused mindset and ability to work independently with attention to detail
