The Property team is part of the Global Corporate Operations Branch within the Corporate Services Division. The team is responsible for managing Austrade's domestic and overseas commercial property portfolio, which includes leasing arrangements, costing, designing and fitout of offices. The team works with a range of internal and external stakeholders to deliver suitable accommodation to meet Austrade's operational requirements. The Property Adviser (Projects) and Office Manager Adelaide will be responsible for project administration supporting the Senior Property Project Manager, budget management for property related projects, managing minor works projects, project contract management and property related procurements. The position is also responsible for office management of Austrade's Adelaide office. The key duties of the position include The Property Adviser (Projects) and Office Manager Adelaide duties include (but not limited to): Assist with the delivery of multiple concurrent fitout projects (on and offshore) including management of project plans, budgets and reports Manage less complex capital works fitout and refurbishment projects Contribute to the development and maintenance of Austrade property policies and plans Assist with research and the preparation of reports, presentations, submissions, and briefings in relation to property projects Develop inter-agency property relationships and provide high quality client service to internal clients through the provision of property advice and support to domestic and international offices Comply with legislation and policies associated with property matters including reporting and audit obligations Assist with development of sound working relationships with the Department of Foreign Affairs and Trade, other Commonwealth organisations and key stakeholders on aspects of Austrade's property strategies, accommodation and fit out requirements Purchasing office supplies Providing front of house support to visitors Assisting with records management and archiving Processing office-related payments Serve as the office point of contact for: Facilities maintenance and servicing Office emergencies Mail and freight Delivery of supplies and equipment Property services invoicing Be the tenant representative for Building Management and liaise on any issues or concerns with office/building Maintain the integrity and functionality of the office by: Arranging necessary works and repairs Escorting contractors/vendors and providing after-hours onsite support when required Reviewing emergency and contingency plans and office SOPs Assist in the on-boarding process for new starters in the organisation and in the process for those departing (cessation) Provide support for in-house functions and events Assist with office asset stocktakes as required Manage office access and security arrangements, including issuing access passes and maintaining a visitor register Monitoring security cameras Assist with ad-hoc tasks delegated within the Global Corporate Operations Branch
