The role of a Project Coordinator plays a vital part in the success of our Site Services team.


Key Responsibilities

* Effective project initiation involves entering projects and sales orders into our ERP system to facilitate project execution and documentation.
* Liaising with Site Services Project Managers ensures seamless integration of the ERP system requirements.
* Preparation of standard documents and maintaining formats as directed by project managers is essential for successful project execution.
* Creating lists of technical specifications at project handover, including revision and specification name, and other details, is crucial for smooth project progression.
* Maintaining client specification revisions referenced in contracts and issuing revisions to suppliers as needed ensures contract compliance.
* Championing document control within the company and serving as the first point of contact for stakeholders regarding document control matters related to Site Services is a key responsibility.
* Tracking the movement of all project documents and deliverables to clients within agreed timelines, including liaison with internal and external customers to expedite documentation, is critical for timely completion.
* Participating in internal and external project meetings (kickoff, project review, etc.) to understand and manage contract administration and document control requirements within contract scope ensures project success.
* Auditing completed jobs/projects for completion prior to final invoicing compilation ensures accurate financial reporting.
* Assisting Site Services Project Manager/Supervisor in compiling MDR and closing out documents to ensure documents provided meet client requirements is an important task.
* Continuously developing and improving contract administration, document control, and filing systems enhances overall project efficiency.
* Providing guidance and training to Site Services personnel on using ERP, Site Services Job File management, etc. is a valuable skill.
* Developing a strong relationship with clients and adhering to contract reporting requirements is essential for customer satisfaction.
* Preparing a detailed project plan that defines organization, roles/responsibilities, scope, targets, contracting strategy, and critical activities ensures project success.
* Assessing subcontractors and implementing successful contracts prior to work commencement is critical for project progress.
* Analyzing shutdown critical path activities and ensuring resources are allocated efficiently optimizes project outcomes.
* Liaising with Client-FLSmidth shutdown personnel on problems and critical changes affecting resources, equipment availability, cost, and schedule develops solutions for successful project completion.
* Project reporting and documentation preparation supports informed decision-making.
* Updating the ERP system with the latest forecast ensures accuracy in project planning.
