About the position

We are seeking an Administration Assistant – Music, who will work directly with the Program Leader - Music to deliver exceptional services in the co-curricular music areas of the College. The position is five (5) days per week during school term time, plus four (4) additional weeks per year across the school holidays (41 weeks per year), working thirty-eight (38) hours per week between the hours of 8.00am to 4.06pm.

This position requires occasional work to be performed outside of normal working hours, on evenings or weekends, including attendance at Open Twilight, Live & Wired, Primary Music Camp and QCMF as designated by the Program Leader – Music.

As the Administration Assistant – Music, you'll have the opportunity to work alongside our Music Support Group, Tutors, Conductors, Accompanists, and Curriculum Leaders, to contribute to activities that have a lasting, real impact on the education and development of our students, staff, and their families. Key responsibilities include:

* Be the Heart of Music Program Operations: You'll provide essential administrative support to the Program Leader – Music, helping coordinate daily activities, events, camps, tours, and performances.
* Connect and Collaborate Across the College Community: This role places you at the center of communication—liaising with teachers, students, parents, music tutors, conductors, and support groups.
* Drive Event Success and Community Engagement: You'll help organise and promote music events, manage resources and merchandise, and aid the Music Support Group in delivering engaging experiences for students and families.
* Champion Student Participation and Achievement: From managing timetables and room bookings to tracking attendance and supporting awards presentations, you'll play a pivotal role in recognising and celebrating student involvement in music.
* Support Financial and Operational processes: You'll assist the Program Leader – Music with budgeting, invoicing, and procurement, ensuring the music program runs efficiently and resources are well managed.

About You

The ideal applicant will have relevant qualifications and/or prior experience in a similar role, preferably within an education environment, with strong organisational skills and excellent attention to detail. Intermediate knowledge of MS Office suite (particularly Office, Excel and PowerPoint) is essential, and knowledge of the Adobe Creative Suite will be highly regarded. You will have excellent people, communication, and networking skills and a personal sense of initiative, enthusiasm, and high energy.
