About the role
We are seeking an experienced Site Administrator to join our team on a part-time (3 days per week) basis for a 12-month fixed-term contract. The successful candidate will commence in mid January 2026 and will be required to reside in the Whyalla area or relocate if successful.
Key responsibilities
* Provide administrative support to management across multiple departments (Operations, HR, HSEQ, Finance).
* Coordinate crew logistics including flights, accommodation, PPE, rosters, and transport.
* Schedule and record meeting agendas and minutes.
* Manage training and induction bookings and ensure attendance.
* Maintain accurate and up-to-date records across platforms such as Payglobal, HELM, Concur, and Quotes.
* Ensure crew qualifications and training certifications are current and logged in HELM.
* Maintain office inventory and order tug supplies as needed.
* General correspondence, data entry, and document control.
* Promote effective and ethical communication across teams.
* Take proactive steps in maintaining a safe and respectful workplace.
What we're looking for
* Proven administrative experience with strong attention to detail and organisational skills.
* Previous experience in crew rostering, ideally within the heavy lift or marine industries (preferred).
* Proficient in Microsoft Office Suite – Outlook, Word, Excel, and PowerPoint.
* Able to manage and prioritise workload independently.
* Experience with systems such as Payglobal, HELM, Concur, or similar (desirable).
