**Event Assistant**
HeadBox is on the hunt for an Event Assistant to join our expanding team. We're Australia's fastest growing event technology and event management agency, on a mission to reinvent the global events industry through human-kind event technology.
HeadBox partners with organisations to support them in delivering their annual program of events. Ranging from private dinners to multi-day events, this role offers a huge variety of event planning. **The Role**
The Event Assistant role will be based in Sydney, Melbourne or Brisbane and you will support our Events team based across Brisbane, Sydney and Melbourne. We are looking for someone ambitious, a self-starter, a problem solver, and ready to get stuck in! While working as an integral part of the team in a support position, you will also have the opportunity to learn from others within the events team and quickly expand your knowledge and skills.
**Responsibilities**
- **Event Proposals**:to create a fluid experience for our clients, a large part of your role will be to build event proposals into our digital platform which displays all venue and supplier options. Attention to detail will be at the forefront of your work ensuring proposals are built with accuracy and any missing information is identified and sourced. Alongside this you will manage the number of quotes received for client pitches and be responsible for ensuring enough quotes are received by the due date.
- **Venue Relationships**: You will be required to build strong, long-lasting relationships with regular venues and become familiar with their spaces.
- **Site Visits**:It's time to experience the venues first-hand! You will attend site visits as required to increase your venue knowledge as well as, on occasion accompany clients on site visits when the dedicated Event Planner is unavailable.
- **Research**:The perfect event relies on the right venue. Part of your role will be to support Event Planners with brainstorming venue options for their events based on the specific requirements and your venue knowledge.
- **Familys & Networking Events**: Industry events and famils of a variety of destinations and venues are the perks of the events industry. From time to time you will have opportunities to be wined and dined by venues that want to showcase what they offer to their guests.
- **Data Management**:Lets face it, you can't remember every venue across the country. Part of your role will be to update and maintain our venue database.
- **Admin**:This role is integral to supporting the Event Planners or Event Managers with their admin tasks. It's not sexy but it's important!
- **Supplier Sourcing**:Events need entertainment and suppliers to complete the experience. You will support the team by researching and sourcing quotes for the relevant suppliers they require for their events.
**Requirements**:
- **Willingness to learn**: there is a lot to learn about the industry, our technology, and our client base, so a desire to learn is essential for the role.
- **Attention to detail**: you'll be dealing with multiple events at any one time so it is imperative you are detail-oriented and organized.
- **Hardworking**: at a start-up you will be required to wear many hats, balancing lots of responsibilities at once and have a can-do attitude.
