About the Role
The Rostering and Administration Coordinator plays a crucial role in maintaining an effective rostering system and provides high quality administrative support at the Residential Care Facility, ensuring that adequate staff are available to provide care and support to residents. This will be a stable, Monday-to-Friday role with no weekend or night shifts.
The primary goal of this position is to make sure that all staffing needs are met in a timely and accurate manner while also ensuring that employees comply with labour laws.
This role ensures the right staff are in the right place at the right time, while maintaining compliance with relevant legislation, awards, and organisational policies.
Working closely with clinical leaders, managers, and frontline staff, the role contributes to safe, continuous, and costeffective service delivery. Accuracy, confidentiality, and strong communication are essential in this fastpaced and people-focused environment.
Key Responsibilities
* Prepare, maintain, and manage staff rosters in line with service requirements, staff availability, and industrial agreements
* Coordinate shift allocations, leave requests, replacements, and lastminute changes to ensure adequate coverage
* Monitor roster compliance, including hours of work, fatigue management, and skill mix requirements
* Collaborate with relevant teams to maintain accurate and up-to-date staffing records.
* Support continuous improvement initiatives to enhance rostering processes and efficiency.
* Maintain accurate employee and roster records within rostering and payroll systems
* Liaise with clinical teams, managers, and external stakeholders to resolve rostering and administrative issues
* Respond to staff and manager enquiries in a timely and professional manner
* Contribute to continuous improvement of rostering and administrative processes
* Provide administrative support including data entry, record management, reporting, and correspondence
About You
* Demonstrated expertise in organising tasks, managing multiple priorities efficiently, and performing administrative duties with proficiency.
* Experienced in rostering, administration and Microsoft Office
* Excellent communication and interpersonal skills
* Understanding of confidentiality, privacy, and workplace compliance requirements
* Familiar with the Aged Care Act, Aged Care Quality Standards, and the Charter of Aged Care Rights.
* Provide exceptional customer service to key stakeholders.
* Proactively seek innovative solutions and collaborate with others to enhance processes and drive improvements.
The successful candidate required to have current National Police Clearance. In line with current health guidelines for the aged care sector, candidates are also strongly encouraged to have all recommended vaccinations.
