Senior SharePoint Specialist
* 6 month contract with 6 month extension possibility
* Canberra, on-site
* Must be able to obtain Baseline Security Clearance
Key duties and responsibilities
* Provide senior specialist leadership across SharePoint Online (SPO) and Microsoft Purview to improve information governance, compliance outcomes, and platform sustainability, with a primary focus on storage consumption and cost control.
* Analyse and diagnose SPO storage consumption across sites, libraries, file versions, recycle bin/holds, content types, and governance settings to identify the main growth drivers, risks, and cost pressures.
* Assess and remediate legacy and existing SPO environments to identify and address:
o inefficient information architecture and site sprawl
o duplication and low‐value content accumulation
o over‐retention or misaligned retention configuration
o sensitivity/retention interactions that unintentionally increase storage
* Design and document a fit‐for‐purpose storage and information governance approach that integrates:
o site and content lifecycle management
o versioning and file history controls
o retention, disposal, and archival patterns
o alignment to Microsoft Purview Information Protection and Data Lifecycle/Records Management capabilities
* Provide expert advice and hands‐on guidance on practical implementation of Microsoft Purview controls (e.g., retention labels/policies, sensitivity labels, records/record status, holds) and their downstream impact on SPO usability, compliance, and storage growth.
* Develop and prioritise pragmatic optimisation actions and roadmaps (e.g., version limits, site consolidation, clean‐up campaigns, information architecture improvements, archive patterns, policy refinement) balancing cost, compliance, risk, and user impact.
* Partner with platform owners and business stakeholders to define governance controls, clarify trade‐offs, and influence sustainable behaviours (e.g., storage‐aware working practices, lifecycle expectations, and content ownership).
* Produce concise, implementation‐ready documentation including technical guidance, configuration standards, governance procedures, and operational runbooks to support adoption and ongoing management.
* Support decision‐making through evidence‐based analysis and reporting, including cost estimates, risk/compliance implications, implementation effort, and measurable outcomes.
* Undertake other duties as directed.
Essential criteria
* Expert level SharePoint Online experience, including strong capability across site administration, information architecture, permissions, governance, versioning and library/list configuration.
* Demonstrated experience optimising SPO at scale, with a track record of identifying and reducing storage growth drivers and finding other storage savings.
* Demonstrated experience influencing senior stakeholders on cost, risk, compliance, and optimisation decisions.
* Demonstrated experience designing and implementing governance models for SPO, particularly those that support lifecycle management, storage disposal processes, sustainable operational practices, and role-based access.
