* Location: Cairns, Townsville, or Mackay.
* Position: Full time, fixed term to 26 February 2027.
* Classification: Level 6, base salary commencing from $80,870 per annum.
* Benefits: Salary packaging up to $15,900 and flexible working arrangements.

The role

As Executive Assistant, you will be the trusted partner to two Executive Directors responsible for Data, Information and Digital (DID) and Health System Integration and Innovation (HSII), ensuring their days run seamlessly and their priorities are supported with precision and foresight. From managing complex diaries and coordinating high‐level meetings to overseeing correspondence and preparing polished business documentation, this role is central to enabling effective leadership.

What you'll do

This is a pivotal role for a highly organised, proactive professional who thrives at the heart of executive decision‐making. No two days will be the same, but your core responsibilities will include:

* Providing professional and confidential executive and administrative support to the Executive Directors.
* Managing complex diaries, meetings and correspondence, including proactively prioritising requests and ensuring timely responses.
* Preparing, proofing and formatting high‐quality correspondence, briefings, reports and other business documentation in line with Northern Queensland Primary Health Network (NQPHN) Style Guide.
* Providing secretariat support for internal and external meetings, including preparing agendas, taking accurate and professional minutes and managing action registers.
* Supporting project activities by assisting with planning, coordination, monitoring and reporting across a range of initiatives.
* Coordinating stakeholder engagement by responding to meeting requests, scheduling meetings and preparing and collating meeting materials.
* Supporting organisational reporting requirements, including contributions to the Operational Plan, Strategic Plan and program performance reporting.
* Undertaking routine financial and administrative tasks such as invoice processing, credit card reconciliation and contract administration in line with delegations.
* Maintaining accurate and secure electronic records and supporting continuous improvement of administrative systems and processes.
* Actively supporting NQPHN's Reconciliation Action Plan and working collaboratively across teams.

Key selection criteria

* A certificate level qualification in Business Administration or experience equivalent of 3-5 years high level administration.
* Excellent written communication skills, including demonstrated experience in preparing business documentation including but not limited to briefings, reports, and correspondence.
* Excellent interpersonal skills, including the ability to liaise with a wide variety of internal and external stakeholders on a range of sensitive issues.
