Project Administration Officer
The Port of Townsville is seeking an experienced Project Administration Officer to join our team. This role will be responsible for coordinating activities and resources in support of major projects during the various stages of the construction phase.

Key Responsibilities:
* Manage and maintain project site office documentation, including filing, record keeping, and document control assistance for the Project Management Team.
* Raise Purchase Requests adhering to procurement policies and financial delegations using TechOne.
* Monitor, record, and manage purchase orders, ensuring costs are captured against correct project cost centres and allocated budgets.
* Monitor open purchase orders and follow up outstanding vendor invoices, ensuring timely payment processing within vendor payment terms.
* Receipting/reconciliation of vendor invoices, ensuring goods/services are authorized and received.
* New vendor setup using EFTsure.
* Attend Project Team Meetings and assist with meeting minutes where required, including distribution and meeting agendas.
* Assist with event planning and meetings as directed.
* Provide administrative support to Commercial Lead and Project Managers where required.
* Support the maintenance of Port policies and procedures.
* Serve as a primary point of contact for the Project Site Office, demonstrating professionalism and excellent communication skills.
* Assist in special projects and tasks assigned by the Commercial Lead - Project Delivery.
Requirements:
* Experience in project administration, preferably in a busy, diversified environment.
* Excellent organisational skills, attention to detail, and a strong ability to manage multiple tasks concurrently.
* Strong communication and interpersonal skills.
* Ability to work collaboratively as part of a team.
* Proficient in Microsoft Office Suite, particularly Excel and Word.
