Operations Manager - Recruitment / Healthcare
$100,000 – $130,000 + Super + Performance Bonus
Elevate Medical Recruitment is a specialist doctor recruitment agency connecting hospitals and healthcare services across Australia with highly skilled medical professionals.
We specialise in psychiatry and mental health placements and work with public hospitals, private hospitals and healthcare organisations nationally.
As we continue to grow, we are expanding into additional medical specialties and building the operational infrastructure required to scale the business.
We are now seeking an Operations Manager to oversee the operational systems and processes that support our placements and recruiters.
The Opportunity
This is a key role within the business responsible for managing and improving the operational engine of the company.
You will work directly with the Managing Director to ensure placements run smoothly, systems are optimised and recruiters are supported so they can focus on high-value activities such as sourcing doctors and developing client relationships.
The role will also play an important part in implementing systems, automation and AI tools that help the business operate more efficiently as it grows.
Key Responsibilities
Operations & Placement Management
* Oversee the operational delivery of doctor placements across multiple clients and states
* Manage credentialing and compliance documentation requirements
* Ensure candidate documentation is complete and compliant before placement start dates
* Coordinate travel and accommodation logistics within agreed guidelines
* Maintain accurate candidate and client records within the CRM system
These responsibilities support the operational and compliance functions currently performed by the admin team.
CRM, Systems & Automation
* Lead the configuration and optimisation of the company CRM
* Map recruitment processes and workflows into the CRM system
* Create and maintain Standard Operating Procedures (SOPs)
* Design automated workflows to reduce manual administration
* Support recruiters in effectively using the CRM
* Identify opportunities to improve efficiency through automation and AI tools
* Support recruiters with placement logistics and candidate onboarding
* Manage job advertising and job order processing
* Prepare and coordinate job mailers
* Monitor the jobs inbox and vacancy tracking
* Ensure operational workflows support recruiter productivity
Finance & Invoicing Operations
* Prepare invoice reports based on submitted timesheets
* Raise invoices for hospital clients
* Monitor aged debtors and follow up outstanding payments
* Ensure placement revenue is accurately captured in the CRM
Elevate holds supplier panel agreements with several health services that require regular reporting.
Responsibilities include preparing reports such as:
* Monthly usage reports
* Quarterly KPI reports
* Spend reports
* Status reports
* Statements of amounts owing
These reports support ongoing compliance with supplier panel requirements.
Process Improvement & Projects
* Improve operational workflows and systems
* Implement automation and operational efficiencies
* Support onboarding of new recruiters
* Assist with operational projects and business improvements
About You
We are looking for someone who is organised, systems-oriented and comfortable managing multiple workflows.
You will likely have experience in:
* Recruitment operations or healthcare staffing
* CRM / ATS systems
* Compliance or credentialing processes
* Process improvement and workflow optimisation
* Operational coordination in a fast-paced environment
Experience in medical recruitment or healthcare staffing will be highly regarded.
