Overview
Based at our North Ryde office and reporting to the Rail and Intermodal Lead, the Administration Officer – Supply Chain is responsible for providing high-level administrative and transactional support to ensure the efficient operation of supply chain processes across multiple sites and stakeholders. This role is pivotal in managing purchase requisitions, invoice processing, approvals, and record-keeping in line with company policies and financial compliance requirements.
Responsibilities
* Invoice and Financial Processing: Receive, process, and update invoices into shared systems (Oracle, Basware, Maximo) and shared drive folders, ensuring all receipted invoices are correctly matched in various systems.
* Reconcile monthly purchasing card expenses.
* Purchase Requisitions and Approvals: Raise and manage purchase requisitions for general and capital items, coordinating email approvals, follow up on outstanding requests and resolving any issues. Manage standing orders across various suppliers and sites.
* Utilities and Site Support: Raise purchase requests, request approvals, and receipt invoices against purchase orders for utilities (electricity, water, gas) across various sites. Liaise with depots and suppliers to resolve discrepancies or outstanding account matters.
* Systems and Records Management: Maintain accurate and timely uploads into Oracle, Teams folders, and trackers, ensuring financial and supply chain records are stored in compliance with company standards.
* Stocktake Coordination: Organise and coordinate bi-annual stocktake activities for the cement division across multiple sites.
What are we looking for?
* Proven administrative experience within a finance, supply chain, or logistics environment.
* Strong computer skills, with experience using Oracle (or similar ERP system), Microsoft Office, and document management platforms (e.g., Teams).
* High attention to detail and accuracy in data entry and record keeping.
