An outstanding opportunity has arisen for a high performing professional to manage the Adelaide Office Finance and Administration function; as well as support the Directors, Associate Directors, Associates, and Project Architects as required.
Position Summary
The role on offer is the position of Finance Manager at a reputed Architectural Firm with significant responsibility and autonomy across end-to-end studio finance function.
The role provides critical financial insight to management to support optimal studio operations and informed decision making.
Core responsibilities include full oversight of the Adelaide Finance Department, general office administration leadership, and direct support to Directors, Associate Directors, Associates, and project architects.
The role requires strong financial capability, operational awareness, and the ability to partner with both local studio teams and the National Finance team.
Key Responsibilities
* Manage project budgeting, forecasting, and financial performance.
* Monitor ongoing project profitability and provide detailed costing reports.
* Review project cash flows in partnership with Project Directors/Project Architects.
* Maintain accurate project records, including contracts, fee information, and correspondence.
* Create and maintain project numbers in Deltek Vantagepoint.
* Produce project‐specific financial reports as required.
2. Branch Profitability and Forecasting
* Prepare branch income and profitability projections for senior management.
* Review and analyse monthly profitability results, recommending actions where appropriate.
* Prepare ad‐hoc profitability reports for Senior Management and Project Architects.
* Maintain and update the branch cash flow.
* Conduct expense analysis and review monthly financial reports.
* Validate monthly P&L statements.
3. Financial Operations and Collaboration with National Finance
Working closely with the National Finance team on activities including:
* Fortnightly payroll processing support.
* Fortnightly EFT and overseas payments.
* Debtor management and collection.
* Monthly management reporting.
4. Payroll
* Review, approve, and post timesheets.
* Compile all payroll changes with the People & Culture representative and submit to National Finance, ensuring correct approvals.
* Resolve payroll enquiries in coordination with the Payroll Manager.
5. Accounts Receivable
* Prepare accurate and timely project invoicing.
* Ensure all reimbursable items and variations are billed.
* Conduct debtor reviews and manage collection activities.
* Reconcile sub‐consultant accounts and accruals.
* Maintain AR filing and archiving.
6. Accounts Payable
* Process supplier invoices accurately and promptly.
* Ensure reimbursable costs are recorded and recharged to clients.
Competencies and Experience Required
* Proficiency in Microsoft Office suite – specially MS Excel (Basic formulae, Lookup, Pivot tables).
* Project‐based accounting experience is advantageous, but not mandatory.
* Strong communication skills, written and verbal.
* Excellent organisational and time management skills.
* Strong attention to detail and accuracy.
* Ability to manage competing priorities in a high‐pressure environment.
* Experience maintaining a professional client‐facing company image.
