About the role

We are seeking a new Medical Secretary to join our team at Five Islands Orthopaedics in Wollongong, NSW.

This is part time position of 30 hours per week. This may become full time for the right applicant if they wish.

Our new team member will provide vital administrative and secretarial support to our specialist medical practitioners and practice manager, ensuring the smooth and efficient operation of our practice.

To thrive in this job you need to be a mature-minded, kind, friendly and enthusiastic team member who will work collaboratively within our small team of two Orthopaedic specialists, two part time secretarial staff and one full time practice manager. Ideally, our new team member should be a quick learner, able to be self directed and process an ability to adapt to a constantly changing routine.

All training and support will be provided in office from our experienced staff.

We would be open to reviewing candidates with no prior medical secretarial experience, who display confidence, ability, are well organised and have experience in using computers, IOS systems especially.

What you will be doing

* using Genie medical software
* using IOS - apple
* handling patient enquiries and booking appointments
* responding to patient queries promptly
* maintaining accurate medical records and patient files
* organising and coordinating the specialist's schedule
* liaising with patients regarding pre-admission documentation and tasks
* managing regular and ad-hoc theatre lists at various hospitals- including gaining necessary approvals and paperwork from patients, employers and/or insurers
* issuing invoices and managing payments from patients, employers and/or insurers
* liaising with other healthcare professionals and providers
* providing a high level of customer service to patients

What we are looking for

* a confident and mature minded person ideally with some previous experience in an administrative role, and ideally in a medical position
* strong typing skills with excellent attention to detail
* excellent communication and interpersonal skills, including using phone systems
* high level of competency in the use of computers
* ability to multi-task and prioritise tasks effectively in a fast-paced environment
* high level of competency in written and spoken English
* ability to problem solve and be an independent thinker
* an ability to adapt and learn new skills
* commitment to maintaining patient confidentiality and privacy
* reliable and professional with attention to detail and excellent work ethic
* presentable, polite and friendly and willing to put in the effort to thrive in their new role

What we offer

At Five Islands Orthopaedics we are dedicated to providing a supportive and collaborative work environment. Work hours can vary between 8:30AM-5:30PM Monday - Friday. Our office is not open over the Christmas and New Year or during the weekend. Our staff and doctors are welcoming and friendly and the pace of work is conducive to a low stress work environment where all are valued and appreciated for their contributions. We offer parking on site for staff.
