About the role

The Medical Workforce Unit at BHS provides administrative support for junior doctors including recruitment, rostering, leave management, rotation allocations and orientation. Working within a friendly and supportive team, we are seeking a roster and administration officer to provide high level administrative support to the Clinical Directors and the manager of the Junior Medical Workforce Unit to ensure that the management of the Junior Medical Workforce day-to-day operations is efficient and effective.

**Key Responsibilities**

Under the direction of the Manager of the Junior Medial Workforce and supporting the Clinical Directors the key accountabilities of the role include by are not limited to:

- Roster Management: Prepare, publish and maintain the rosters for junior doctors, ensuring that annual leave and other leave is covered, changes are tracked and relevant staff are notified as required and ensuring the effective use of relievers and locums within available resources.
- Payroll Processing:Process fortnightly remuneration and payroll processing for junior doctors and respond to issues / queries as required.
- Staff File Administration:personnel file creation, ensuring compliance of on-boarding documentation and preparation of paperwork for people and culture processing,
- Rotation and Leave Management:Provide end-to-end rotation and leave management and in conjunction with the junior medical officer (recruitment), the creation of yearly junior medical staff rotation and leave plans for HMOs and interns.
- Operational Management: Provide day-to-day operational management of the junior medical staff including the rostering of junior doctors consistent with the provisions of the VIC DiT Enterprise Agreement
- Continuous Improvement: Provide leadership in assisting clinical directors and managers in the implementation of continuous improvement initiatives to business processes including the standardisation and amalgamation of systems and processes with those of the MWU, the preparation of finance reports for cost and over-time analysis and responding to regional requirements within the greater Grampians health network.
- External Stakeholder Management: Developing and maintaining working relationships as required with the Australian Health Practitioners Regulation Agency (AHPRA), Australian Medial Association (AMA), Postgraduate Medical Council of Victoria (PMCV), Department of Health and Human Services (DHHS) and other Victorian health service medical workforce units, including secondment hospitals and locum agencies.
