Administration Assistant – Building & Construction

We are a growing building and construction business looking for a capable and adaptable Administration Assistant to join our team.

This is a varied, client-facing role suited to someone who enjoys organisation, communication, and being part of a fast-moving business where no two days are the same.

You’ll be the first point of contact for many of our clients and suppliers, playing an important role in keeping jobs moving smoothly from enquiry through to completion.

We’re looking for someone mature-minded, approachable, proactive, and able to think ahead — someone who enjoys helping others and takes pride in keeping things organised without needing rigid structure.

We are also open to offering a hybrid work arrangement with flexible hours for the right candidate, ideally around 4 days per week with part-time hours.

Key Responsibilities

Client Liaison

* Answering incoming calls and emails

* Managing daily client communications

* Job acceptance communications

* Quote follow-ups

* Scheduling quotes and jobs

* Creating and maintaining job files and documentation

* Updating customer records and job details in Tradify

Contractor & Supplier Coordination

* Liaising with suppliers and contractors

* Purchase requisitions and acquisition coordination

* Assisting with scheduling and operational support

Continuous Improvement

* Identifying opportunities to improve systems and processes

* Supporting implementation of agreed improvements

* Contributing positively to the company’s continuous improvement culture

About You

You are someone who:

* Enjoys being organised and keeping things moving

* Communicates confidently and professionally

* Has a friendly and helpful approach with clients and suppliers

* Can adapt to changing priorities

* Works well independently and within a team

* Is proactive and able to anticipate business needs

* Takes pride in attention to detail and follow-through

Skills & Experience

* Previous administration or clerical experience essential

* Strong customer service and communication skills

* High proficiency with computer systems

* Experience with Microsoft Office Suite (Word, Excel, Outlook)

* Excellent organisational and time management skills

* Ability to multitask and manage competing priorities

* Experience with Tradify or similar job management systems is advantageous
