Hourly Pay Rate: $52.15 – $55.59 per hour + 12% superannuation
Security Clearance / Requirements: Must hold minimum Negative Vetting 1 at time of application
ABOUT THE ROLE
An Australian Government department is seeking an experienced APS4 Executive Assistant to support senior executives within a high-profile trade and policy division.
As the Executive Assistant, you will report to an Executive Officer and work closely with Senior Executive Service (SES) officers and senior staff to support day-to-day operations and deliver on priority outcomes. You will engage with a broad range of internal and external stakeholders and will be expected to demonstrate discretion, sound judgement and professionalism at all times.
KEY RESPONSIBILITIES
* Work closely with the Executive Officer and other Executive Assistants to ensure the smooth operation of divisional processes, including onboarding, events and administrative coordination
* Provide executive support to one or two SES Band 1 (or equivalent) officers, including diary and calendar management
* Manage appointments, meetings and briefings, including compiling and printing briefing packs as required
* Maintain office systems and records using Microsoft Office, SAP and electronic document and records management systems (EDRMS)
* Coordinate domestic and international travel arrangements, including itineraries, visa applications and financial reconciliations
* Exercise discretion and judgement in managing competing priorities, workflow and visitors
* Work collaboratively across branches and the department to support divisional outcomes
SKILLS AND EXPERIENCE
* Demonstrated experience providing executive or high-level administrative support in a fast-paced environment
* Strong diary and email management skills, ideally supporting senior executives
* Well-developed organisational skills with the ability to manage competing priorities
* High level of discretion, professionalism and sound judgement
* Experience using Microsoft Office and electronic records management systems
* Strong interpersonal and communication skills, with the ability to engage effectively with a wide range of stakeholders
* Ability to work independently while also contributing positively to a team environment
ELIGIBILITY

* Must hold a Negative Vetting 1 clearance at time of application.
