Primary objective
Facilitate and manage the effective flow of information and communication between the Department of Children and Families and the
Minister's Office, ensuring compliance with Government administrative, legislative and record management requirements for ministerial
and Cabinet documentation. Assist in managing the Department's executive reporting requirements.
Key duties and responsibilities
1. Facilitate quality and timely ministerial liaison service, including coordination and preparation of ministerial briefings,
Cabinet submissions, Legislative Assembly and Estimates Committee briefing processes, internal and external correspondence, and
briefings for agency portfolios.
1. Provide effective mentoring, supervision, and leadership to staff, providing guidance and support as required.
2. Provide high-level advice, assistance, and training to staff in the preparation of quality Ministerial, Cabinet and agency correspondence,
ensuring that high standards are maintained.
4. Maintain effective relationships with departmental executives, ministerial offices, Cabinet Office, and other government departments
to strengthen input and meet reporting obligations.
5. Ensure maintenance of effective reporting and governance systems and provide a range of strategic reports to internal and external
recipients, including Government agencies, Ministers, Cabinet, and the departmental executive leadership groups.
6. Work collaboratively to identify obstacles in systems, process and competencies that may inhibit the departments in achieving its
objectives and timelines and develop practical solutions to resolve these issues.
7. Contribute to development of policies, guidelines and systems that underpin delivery of effective organisational coordination and
reporting.
Selection criteria
Essential
1. Demonstrated experience in a ministerial liaison, secretariat, or similar role, including a strong understanding of Parliamentary, Cabinet,
Government and Legislature processes and protocols, and experience providing advice on related procedural matters.
2. Demonstrated leadership skills, including ability to be proactive and work positively and enthusiastically to drive outcomes.
3. Superior oral and written communication skills with proven ability to maintain a strong level of attention to detail and appreciation of
high-quality reports, presentations, briefings, speeches and ministerial correspondence, including appropriate content, style, and tone.
4. Well-developed interpersonal and negotiation skills, with the ability to build and maintain effective networks and negotiate with
influence.
5. High level organisational and time management skills, with demonstrated ability to work independently under pressure, prioritise
competing demands, and meet tight deadlines in a high-pressure environment.
6. Ability to implement robust monitoring and evaluation systems to identify areas for continual improvement.
7. Experience in dealing with matters of a sensitive nature and maintaining a high level of confidentiality.
8. Availability to work extended hours when required.
Desirable
1. Qualifications in a related discipline (Advanced Diploma or higher) such as Business or government.
2. Experience in delivering training sessions, workshops, and presentations.
3. Operational experience in a public sector system.
