Full Time fixed term opportunity until June 2026 for an organised and dedicated Executive Assistant and Project Officer to the Head of Clinical School play a key role in supporting the Head of School through high-level executive assistance and coordination of strategic projects Base Salary $103,185 generous17% superannuation About the opportunity This position offers an exciting opportunity to contribute to the strategic and operational success of a leading academic School within the Faculty. As Executive Assistant and Project Officer to the Head of Clinical School, you will play a key role in supporting high-level decision-making, coordinating critical projects, and ensuring the smooth functioning of day-to-day operations. Working closely with academic and professional staff, you will be instrumental in fostering collaboration, managing priorities, and delivering outcomes that support the school’s teaching, research, and engagement objectives. This is a dynamic and rewarding role for a highly organised professional who thrives in a complex and intellectually rich environment. Your key responsibilities will be to: work closely with the Head of Clinical School, senior administrators, academic staff, and external stakeholders manage complex diary and travel arrangements, ensuring compliance with university policies coordinate and support clinical school-specific projects, including planning, reporting, and logistics draft and review correspondence, prepare meeting papers, and ensure timely distribution maintain effective administrative systems and ensure compliance with university procedures triage and respond to internal and external enquiries with professionalism and discretion support the planning and delivery of small events, meetings, and catered functions monitor project timelines and deliverables, ensuring milestones are met and documented maintain up-to-date records, distribution lists, and affiliate databases for the school About you demonstrated experience in executive support and office administration in a complex environment advanced proficiency in Microsoft Office suite and diary management systems strong understanding of project documentation, planning, and reporting methodologies experience managing competing priorities and meeting deadlines in a fast-paced setting ability to build and maintain effective relationships with internal and external stakeholders tertiary qualifications in a relevant field or equivalent combination of training and experience.
